Residential Property Manager JOB DESCRIPTION OVERVIEW: A Residential Property Manager is responsible for all day to day property operations, overseeing and enhancing the value of the properties in their portfolio. This manager must embrace the concepts of Level 5 Leadership, Group Responsibility and Servant Leadership. Job Responsibilities and Duties: Demonstrate ability to understand financial goals, operate asset in owners' best interest in accordance with company policies & procedures. Provide back up to Assistant Managers when needed to maintain accurate records of all transactions and submit on timely basis (i.e., rent rolls, delinquency reports, move-in/move-outs, etc.). Review all move-in and move-out paperwork to ensure policy compliance and that all applicable fees or specials are applied. Submit to accounting when complete. Knowledge and understanding of annual budgets and income. Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance. Ensure that A/P invoices are submitted to accounting for payment. Utilize marketing strategies to secure prospective residents. Confirm that leasing staff techniques are effective in obtaining closing. Work with marketing staff to secure prospective residents for upcoming vacancies. Adhere to all maintenance and purchasing directives. Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, marketing data, etc., to be able to give up- to-date and proper information when requested by others. Take necessary action on delinquent accounts, provided by Assistant Manager, once notices have been provided on balances not paid. File evictions by the 10th of each month. Schedule sheriff lock-outs when necessary. Be the first point of contact in reference to any court proceedings unless other staff can provide first hand, relevant testimony. Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow. Confirm all leases and corresponding paperwork are completed and input to software System accurately and on a timely basis once received from Leasing Agent. Then submit to Accounting. Supervise entire staff in portfolio. Give clear direction to Assistant Manager when not in the office. Consistently use successful techniques and company directives to train new personnel to ensure policy compliance and standards are met and ensure efficiency of staff through ongoing training, instruction, counselling and leadership. Provide approval for potential new staff prior to onboarding. Administer action plans consistently, and on a timely basis with performance problems. Document appropriately, communicate situation to supervisor, Human Resources Department and terminate properly when necessary. Provide support and assistance to staff to encourage team work and lead as an example in creating a harmonious environment. And provide support on each site when necessary. Administer weekly team/staff meetings at each property. Approve timecards and approve all supply orders for each property. Ensure all administrative processes involving personnel are handled on a timely basis (i.e., performance evaluations, salary reviews, time sheets, change of status forms, etc.). Maintain community appearance and ensure repairs are noted and completed on timely basis. This requires regular community inspections and tours outlined below. o Conduct bi-weekly property inspections with caretaking staff at each property and follow up with each team via email within 24 hours of inspection. o Conduct weekly patio inspections and safety inspections at each property. Follow up with your office staff same day to ensure prompt communications. o Conduct weekly unit inspections with caretaking staff at each property and follow up with each team via email within 24 hours of inspection. Remain up-to-date on all OSHA/safety regulations. Ensure that all residents are provided with a clean, safe, well-maintained community. Report all accidents/injuries to supervisor and then to Human Resources for processing. Constant communication with office staff. Participate in training in order to comply with new or existing laws. Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community. Represent the company in a professional manner at all times. Refer to and abide by proper etiquette in Employee Manual and Code of Conduct. To ensure adequate coverage at each property upon an employee absence, prior approval must be given by supervisor via calendar invite to include a coverage plan.
