Full description of the position

Employees occupying this classification perform a variety of management and administrative functions under the direct supervision of the Property Manager. They assist the Property Manager in all aspects of the resident referral and rental assignment program. They assist with providing housing information to prospective residents inquiring about renting from JL Properties, Inc. in Fairbanks, Alaska. Distinguishing Characteristics: The Leasing Agent performs necessary leasing and administrative functions for JL Properties, Inc. They are often the initial point of contact for potential and current residents. They have direct contact with potential residents, current residents and vendors; and, as such, must have a pleasant demeanor, possess strong people skills and the ability to work well with people from diverse social and economic backgrounds. They must continually strive to increase their working knowledge of the property. They are to conduct business in a manner that attracts and retains residents by performing the general duties, all assigned duties, as well as the following position specific duties: Job Duties and Essential Function: - Greet people in a professional, respectful and helpful manner and practice positive customer service skills with all prospective, present and past residents. Diplomatically address and diffuse sensitive, difficult and disruptive situations that may arise. - Assist in developing lease materials. - Conduct move-in unit inspections for incoming residents. - Prepare and review resident leasing paperwork; communicate meaningful and relevant leasing information with clients by phone, email, or face-to-face, and follow up, as necessary. - General administrative duties, to include but not limited to, filing, reproducing copies, accepting payments, running credit cards, and updating information. - General customer service duties, to include but not limited to, answering telephones, communicating availability and showing apartments. - Assisting with the completion of applications and move-out notices. - Verifying eligibility of applicants. - Follow all Company policies and procedures, Leasing Department policies and procedures, and must be familiar with and comply with the Alaska Uniform Residential Landlord & Tenant Act. - Work with leasing team and Property Manager to strive towards existing- tenant retention and to attract prospective tenants. - Heavy amounts of computer data entry, to include but not limited to, entering and updating resident ledger information, posting and correcting charges, posting monies received, completing end-of-day and monthly reports, and obtaining end-of-day information as requested. - May be required to maintain statistical data on the property operation as directed by the Property Manager and the Regional Coordinator. - Deliver notices, research specific problems, conducting meter readings and review residents' ledgers for errors. - Creation of and maintenance of accurate resident files - Prepare and send out mailings as requested. - Occasionally cover work hours that are in addition to normally scheduled hours. - Participation in an on-call schedule rotation for evening, weekend and holiday coverage. - Maintain work areas in a clean and organized condition. - Assist other company departments as scheduled or requested. - Direct customer requests to appropriate members-of-staff. - Perform other related duties as assigned by the direct supervisor and/or Management. Minimum Qualifications: - High School diploma or equivalent - Valid Alaska Driver's License - Able to be insured by company's auto insurance - 12 months General Office, Customer Service, Retail or Sales experience - Knowledge of basic mathematics, writing and reading comprehension skills - Must possess excellent computer software skills, including Windows, Excel, Word and web-based programs. - Experience in residential rental office highly desirable. Tools and Equipment Used: Motor vehicles, telephones, computers, photocopiers, facsimile machines, and calculators. Supervision Received: The leasing agent must possess the capability to work independently, und a direct supervisor and/or Management. This position reports directly to the Property Manager. Supervision Exercised: This is not normal responsibility of this class, although direction and guidance is exercised over contract service providers and other personnel on specific projects.
