Kira Labs is on the search for a Sales Coordinator who will be responsible to support and grow the Sales Management Team. General Summary The Sales Coordinator is the backbone of our sales team, ensuring seamless operations and providing essential support. They handle a wide range of tasks, from processing orders and managing customer relationships to maintaining sales records and assisting with administrative duties. By streamlining processes, resolving customer inquiries, and providing valuable data insights, the Sales Coordinator contributes significantly to the overall success and efficiency of the sales department. Primary / Key Essential Functions and Responsibilities Order processing Track and report on Sales orders received vs the Sales plan Follow up with Inside Sales on upcoming sales order tasks Keep Management informed of orders raised and highlight "stucks" for further resolution Reporting Ensure the various designated sales reports are prepared and completed timeously - e.g. sales vs forecast, etc Maintain sales records Update customer information in Salesforce Keep accurate records of customer interactions / feedback Maintain customer linesheets / pricebooks Sales Opportunities Support Inside sales with Account management tasks Assist Sales team in managing Sales opportunities - creating opportunities, updating tasks, following up on progress, etc Forecasting Assist the sales team in gathering the data (for e.g. customer product performance feedback, etc) for the forecast review meeting Arrange / set up the sales forecast meeting Take notes in preparation for the monthly SIOP meeting Managing calendar / Meetings Prepare reports and agenda for the weekly Sales meeting Set up customer meetings and manage Sales / Customer calendar - key meetings, etc Other Administrative Tasks Assist with preparing presentations, various other sales material / assets Assist in coordinating trade show preparation and materials May also be involved in other tasks such as coordinating with other departments, researching potential clients, and supporting marketing initiatives Assist with managing various retail project timelines and tasks Manage sample requests and follow through on shipping as needed Assist Customer Service Coordinator where required Requirements: Education and/or Experience and Qualifications Bachelor's degree in business administration or related field preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Proficiency in AI-driven tools and data visualization platforms. Proficiency in data analytics tools is a plus. Knowledge in Trello, Taskray and SalesForce is a plus Experience in a manufacturing or beauty environment is a plus. 2-4 years of experience in administrative or business support roles is a plus. Knowledge, Skills and Abilities Excellent written and verbal communication abilities. Entrepreneurial spirit and desire for constant improvement. Ability to manage multiple priorities in a fast-paced, dynamic environment. Results-driven with excellent organizational skills, follow through, and commitment to quality. Strong attention to detail and accuracy in data handling and reporting. Analytical mindset with problem-solving capabilities. Excellent presentation and research skills.
