Position Title: Office Administrator - Inside Sales Support & Procurement Buyer Position Type: Direct Hire Full-Time Hours: Monday - Friday 8:00am - 4:30pm Compensation: $55k - $63K Location: Willamette Valley Region About: My client is a global leader leader in manufacturing premium CBD products. This role as Office Administrator - Inside Sales Support & Procurement Buyer, is a direct hire opportunity meaning the selected candidate will be hired directly onto my clients team and receive full company benefits. In this dynamic role as an Office Administrator - Inside Sales Support & Procurement Buyer, you will serve as the administrative hub for our office operations, supporting leadership, sales, and procurement teams. You'll ensure that the office runs smoothly, assists in customer communications and order processing, and manages purchasing and supplier relationships. If yes, then this is the perfect opportunity to grow your career with a purpose- driven company! *What you 'll be doing: Office Administration: * Answer and direct incoming calls, provide support to visitors and internal teams. * Organize and schedule meetings and appointments; take and distribute detailed meeting minutes. * Manage office filing systems, policies, and procedures. * Prepare correspondence, reports, and documents as needed. * Book travel arrangements and reconcile expense reports. * Maintain contact lists and manage office supply inventories. Inside Sales Support: * Support the sales team by assisting with CRM updates, order entry, and client communications. * Prepare sales materials and coordinate with internal departments to ensure customer needs are met. * Help gather information for quotes, proposals, and follow-up tasks. Procurement & Buyer Responsibilities: * Enter purchase orders and track invoicing through QuickBooks Online. * Gather supplier and pricing information to support purchasing decisions. * Order office and production supplies; research new vendors and negotiate favorable terms. * Track shipments, manage delivery timelines, and enter tracking numbers into QuickBooks. * Support inventory management activities. Requirements and Qualifications: * Proven experience as an administrative assistant, office administrator, or similar role. * Exposure to inside sales processes and/or procurement duties are a huge PLUS! * Proficiency in MS Office - Excel and PowerPoint. * Strong working knowledge of QuickBooks online. * Familiarity with Adobe Suite and CRM systems is a plus. * Exceptional time management, organizational and multitasking skills. * High level of attention to detail and problem-solving skills. * Excellent written and verbal communication skills.
