Job Location & Work Environment: This is an in-office (non-remote) exempt position based out of Earth City, Missouri, requiring full-time availability during business hours (8:00am - 5:00pm) to support the branch and its IT & Sales operations. Job Overview: We are seeking a proactive and highly organized professional to join our team as a Sales Support and Office Administrator. The ideal candidate will have a strong background in post-sales support, focusing on receiving and scheduling deliveries of equipment, office management and overseeing post-sales projects. This role is ideal for someone who is detail-oriented, customer-focused, and capable of ensuring smooth execution of post-sales processes and managing the daily operations of the branch and leading project coordination. * Post-Sales Support & Customer Service: * Act as the primary point of contact for customers post-sale, ensuring timely and efficient fulfillment of orders. * Coordinate the scheduling and delivery of equipment, ensuring proper allocation of resources and that timelines are met. * Communicate with internal and external customers to provide updates on the status of their orders, delivery schedules, and any potential issues. * Assist customers with any post-sale concerns, troubleshooting, or follow-up service requests to ensure satisfaction. * Ensure that all deliveries are accurately processed, tracked, and confirmed to meet customer needs. * Scheduling & Coordination: * Schedule and coordinate the delivery and installation of office equipment, ensuring efficient use of resources and meeting customer expectations. * Collaborate with logistics and service teams to ensure timely delivery and setup of equipment. * Manage and update delivery schedules, ensuring smooth transitions from sales to delivery teams. * Communicate with customers and internal teams to confirm delivery times, resolve scheduling conflicts, and provide proactive updates. * Post-Sales Project Management: * Oversee and manage post-sales projects, ensuring the smooth transition from sales to delivery, installation, and setup. * Manage project plans, track progress, and communicate regularly with customers and internal teams to ensure projects stay on track. * Monitor timeliness and resources to ensure that projects are completed on time, within scope, and within budget. * Coordinate with internal departments (e.g., IT, service, logistics) to ensure all aspects of the post-sale process are executed effectively. * Ensure the successful delivery and installation of equipment, keeping customers informed and satisfied throughout the process. * Office & Facility Management: * Answer incoming calls and greet visitors, ensuring a professional and welcoming office environment. * Oversee the day-to-day operations of the office, including office organization, supply ordering, and facility maintenance. * Maintain inventory of office supplies and equipment, ensuring the office is fully stocked and operational. * Ensure all office equipment is functioning correctly and coordinate any necessary repairs or maintenance. * Assist with scheduling meetings and managing the office calendar. * Administrative Support: * Provide general administrative support to the Sales, IT, and service teams, including document preparation, filing, and organizing correspondence. * Maintain and update customer records, ensuring accuracy in post-sales documentation and service requests. * Assist with any administrative tasks related to the fulfillment and tracking of orders or service requests. * Act as the primary point of contact for office-related inquiries and troubleshoot technical issues as needed. * Provide administrative support to the team, including document preparation, filing, managing correspondence, and maintaining confidential records. * Collaboration with Internal Teams: * Work closely with Sales, IT, and service teams to ensure alignment and smooth execution of post-sales processes. * Collaborate with other departments and branches to ensure that customer needs are met, and company objectives are achieved. Qualifications Required: * Proven experience in post-sales support, customer service of office management. * Strong organizational and multitasking abilities with a focus on scheduling, delivery coordination, and customer satisfaction. * Excellent communication and interpersonal skills, with the ability to work effectively with both customers, and internal teams. * Technically savvy, with proficiency in office software (e.g. Microsoft Office Suite). * Ability to handle sensitive information and maintain confidentiality. * Strong problem-solving skills and proactive attitude. * Detail-oriented with the ability to manage multiple projects and schedules simultaneously. * HS Diploma of equivalent. Qualifications Preferred: * Previous experience in a logistics, project management, customer service, or service delivery. * Familiarity with project management systems and inventory management tools. * A degree in Business Administration, Operations Management or a related field. Physical Requirements: * Ability to sit or stand for extended period during the workday, with periodic breaks. * Ability to lift 25lbs. for handling office supplies, inventory or other materials. * Frequent use of computer, phone and office equipment, requiring manual dexterity. * Ability to perform occasional walking, bending, and reaching for office materials.
