We are currently searching for a Sales Administrative for the Rochester Airport Marriott. This position reports directly to the Sales Manager. Scheduling will be based on incoming & outgoing groups. Flexibility in hours and the ability to work weekends is required. While job duties are listed below, other duties or tasks may be assigned as necessary. The ability to lift 25lbs may be required. Responsibilities: * Provide administrative support to the Sales Department o Offer site tours and visits when Sales is off property. o Answer the Sales phone if they are out of the office. o Once a contract is signed and returned to a client, the group will become the responsibility of the Sales Admin. You are responsible for making sure any deposits for meeting space are received. o Create a relationship with the client, learn their needs/wants/ hot spots. Adjust, change, or make additions to groups in a timely manner. * Establish and maintain accurate files and trace system for the Hotel. o STS, IQWare, and any other Sales Software that may be included in the future must always be updated with accurate information on both rooms & meeting space. o A File folder that includes contract/ payments/ call log/ itinerary etc., is required for each group. o The group calendar in the sales office should be up to date with all paid meeting spaces. o Charges for breaks/ linens etc. should be posted in IQware on the day of arrival. o Send out any invoices needed by guest/ or rooming list of reservations. * Maintains adequate inventory of marketing collateral and office supplies for the department. o Prepares and distributes mailings and marketing collateral to clients. o Maintains contact lists to ensure contact information is current for all clients. o Assists in marketing blasts / Facebook posts and any other internet activities. * Prepares and distributes Group Resume's and BEO's to relevant departments. o Leads weekly BEO meeting to discuss upcoming groups, meetings, and special needs. o Communicates on tight flips and refreshing meeting spaces. * Answers calls, uncovers client needs, communicates any changes of existing events to relevant departments. o Once contract is definite reach out to client and establish contact o Maintaining call log on clients in folder o Six weeks prior to event contact client for rooming lists, payments, linens, up sale for breaks, get itinerary. o Four weeks prior to arrival complete all refining of rooming list, payments, special orders for the group (i.e., linens) o Two weeks prior to the event the packet is ready for the front desk with minimal changes needed. o Order break items such as beverage, food, waters o Prepare and maintain items for breaks (i.e., coffee, beverages etc.) These should be checked/refreshed as needed every two hours. * Responsible for coordinating arrival and departure needs with Event and Group leaders. o Communicate needs to Front Desk to ensure seamless check-in and checkout experience. o Communicate with Controller for any payment or tax exemption needs. o Make sure the key for the meeting space is signed out at the front desk and make sure the guest is greeted by an employee upon arrival and departure. o Know what time the meeting or event begins and ends. * Support the Front Desk as needed. o Work with the front desk on any or changes with groups o Answer phone for incoming reservations o Help cover front desk as needed. Experience: - Sales admin. or customer service required. - Use of Microsoft Office programs required.
