JOB SUMMARY As the Sales Operations Coordinator at Unica Party Rentals, this role is crucial to ensuring the seamless functioning of the sales operations process. This role's responsibility encompasses a range of tasks, including ensuring all communications and paperwork management, inventory and order processing system coordination and maintenance, and supporting the sales team bridging the gap to operations. Additionally, this role may be required to temporarily support Inside Sales Coordinator functions, including client communication, scheduling, and handling inquiries, to ensure consistent sales team support. This role reports directly to the Vice President. RESPONSIBILITIES The Sales Operations Coordinator is responsible for, but not limited to, the following: Sales Operations Support: * Collaborate with Sales and Operations Teams to address operational needs and streamline communication channels. * Bridge the gap between sales and operations processes * Provide necessary support to facilitate a smooth transition from sales to order processing. Order Processing Coordination + Paperwork Management: * Ensure the accurate and timely printing of all paperwork, reports, and critical documentation required by operational teams, with a strong focus on precision and adherence to established formats * Organize and maintain documentation, reporting, and communication processes to facilitate smooth, accurate, and efficient communication and operations between sales and operational departments. Order Processing System Administration: * Maintain a meticulously organized inventory of all supplies and materials necessary for rental orders and seamless team operations, proactively monitoring stock levels. * Conduct thorough research and accurately source inventory and supplies as specifically requested by the sales and operational teams, adhering to budgetary guidelines. * Collaborate closely with the Sales and Operations Teams to ensure the organization's system is consistently maintained and current with precise inventory and supply information. Order and Supply Expense Reporting: * Reconcile all expense reports submitted, ensuring meticulous accuracy, strict compliance with company policies, and the inclusion of all required supporting documentation. * Tag all expenses appropriately and with precision at the end of each month, including attaching receipts, verifying amounts, and applying the correct category tagging. Inside Sales Support (as needed): * Assist in creating quotes and reservations for the Sales Team. * Coordinate scheduling of meetings with clients and team members. * Support client correspondence, ensuring professional and timely communication. * Handle basic customer inquiries and issues, escalating as necessary. * Maintain excellent customer service and communication skills when interacting with clients. * Perform specific inside sales support tasks. REQUIREMENTS * Communicate effectively with a diverse team of personalities and communication styles. * Ability to maintain a professional appearance and display a positive and enthusiastic approach to all assignments. * Ability to sit for several hours a day * Proficiency in handling and organizing inventory, ensuring accuracy and efficiency. * Physical capability to perform tasks related to inventory counting, sorting, and stocking and lifting up to 35 lbs. QUALIFICATIONS * Highly skilled in managing deadlines and multitasking. * Proficient in inventory management and order processing systems. * Strong organizational and communication skills. * Ability to multitask and work in a fast-paced environment. * Excellent verbal and written communication skills. * Excellent organizational skills and attention to detail. * Proficient with Google Suite, Slack and/or related software.
