Job Description: The Service Advisor serves as the primary liaison between customers and the service department, managing all aspects of service documentation and customer communication. This role requires exceptional attention to detail, strong customer service skills, technical marine knowledge, and the ability to effectively coordinate with technicians and management to ensure superior service delivery in a luxury marine environment. Key Responsibilities: * Generate detailed work orders and estimates for all service requests, ensuring accurate documentation of customer concerns and required repairs * Maintain regular communication with technicians and customers regarding service status, timeline updates, and cost changes * Coordinate with service technicians and the Service Manager to prioritize and schedule repair work efficiently * Process warranty claims and maintain accurate documentation for manufacturer warranty requirements Parts and Inventory Management: * Manage parts ordering processes using IDS Marine Dealer Management software, including creating purchase orders, tracking order status, and updating technicians and customers on parts availability * Adhere to deposit request and receipt policies for all applicable work orders * Monitor and maintain inventory levels within IDS, setting up reorder points and conducting regular cycle counts to ensure accuracy * Process parts receipts in IDS, verifying received parts against purchase orders and updating inventory records accordingly * Coordinate with vendors and manufacturers to ensure timely delivery of parts, negotiating expedited shipping when necessary * Manage special order parts in IDS, linking them to specific work orders and customers * Generate parts inventory reports through IDS for management review, identifying slow-moving or obsolete inventory * Reconcile physical inventory with IDS system records, investigating and resolving discrepancies * Work with accounting department to ensure accurate parts pricing and costing in the IDS system * Track parts warranty information in IDS, ensuring proper documentation for warranty claims * Assist technicians in proper parts request procedures using the IDS platform Additional Responsibilities: * Track parts orders to ensure timely completion of service work * Create and maintain detailed service records for all vessels, including comprehensive documentation for warranty claims and technical repairs * Handle complex customer billing scenarios, including final invoicing, warranty processing, and payment processing * Coordinate multiple ongoing service projects while optimizing department workflow and resource allocation * Assist in maintaining service department inventory records * Collaborate with DiMillo's Yacht Sales brokers to coordinate commissioning work * Support the Service Manager in implementing department procedures and maintaining service standards * Ensure all documentation meets industry compliance standards and company policies Requirements: * 2-3 years of experience in marine service writing or related customer service role * Understanding of marine systems and terminology, including basic electrical, mechanical, and water systems * Excellent written and verbal communication skills with ability to translate technical information for customer understanding * Demonstrated ability to maintain composure and professionalism in challenging situations * Detail-oriented with strong organizational and multitasking abilities * Experience with warranty processing and documentation is preferred * Experience with IDS Marine Dealer Management Software is preferred * Demonstrated proficiency in parts inventory management systems * Understanding of marine parts supply chains and vendor relationships * Valid driver's license * Ability to work occasional evenings and weekends as needed for time-sensitive projects Compensation and Benefits: * Competitive salary based on experience * Health insurance (80% employer covered) * Dental insurance (80% employer covered) * Paid time off (vacation, sick days, and holidays) * 401(k) retirement plan * Professional development and training reimbursement * Employee discount About DiMillo's Yacht Sales: DiMillo's Yacht Sales is a professional yacht dealership and brokerage firm with six locations from Maine to Maryland.
