Full description of the position
Reporting to the Vice President of Business Operations, the Office and Sales Support Administrator is essential to the smooth execution of daily operations and the implementation of process improvements. The Office and Sales Support Administrator is essential to the holistic support of the business. This role involves light coordination of day-to-day HR responsibilities, inside sales, providing executive support, and AR/AP administrative duties. Office and Sales Support Administrator duties include but are not limited to: Support Sales Growth by: * Providing product information and pricing to customers, processing customer orders * Generating sales proposals and quotes, supporting outside sales as needed * Preparing presentations and sales materials * Attending manufacturer trainings and certification courses, as requested * Communicating timely and accurate ETAs as needed Assisting with Accounts Payable/Receivable: * Reconciling vendor invoices, processing payments and maintaining accurate records of activity * Preparing and sending invoices, past due notices, and applying customer payments Ensure the Smooth Operations of the Office: * Responsible for the implementation of customer events, employee events, and meetings. This includes planning, coordinating with venues, and event set-up/tear-down * Monitoring the inventory of marketing materials and ordering new as needed * Create engaging social media post for holidays, company events, solution highlights, etc. * Coordinate travel - vehicles, hotels, etc. * Maintain a neat and organized office. This includes but is not limited to: * Filing * Making office improvements * Stocking the conference room fridge * Light cleaning and re-stocking as needed * Answering phones and greeting guests Coordinating HR functions: * Administration of employee onboarding, offboarding, and orientation * Coordinating and corresponding with HR vendors * Attending HR trainings and meetings with consultants as necessary or assigned * Tracking of employee benefits and insurance, providing updates and education as necessary * Ensuring all employee and company HR documentation remain up-to-date * Ensure employee and company compliance with HR initiatives and procedures * Assist with the creation of new HR policies and employee programs * Management and tracking of important company and departmental dates necessary for vendor/HR/sales/service compliance and success Desired qualifications: * Experience using Microsoft Office, QuickBooks, Connectwise, or related systems * Inside sales and/or accounts receivable/payable experience OR desire to learn * Experience planning events * Experience creating digital marketing material * Excellent communication skills * Time management and organizational skills * Adaptability and flexibility * Business acumen; must be able to present yourself in a professional way This role requires the physical ability to lift and carry items weighing up to 30 pounds and to work outside of typical hours on days of customer events (3-5 times a year). This role requires the ability to attend and assist with the set up and tear down of company events, both indoors and outside.
