Full description of the position
Schedule will be Tuesday-Saturday National Base Salary Rate: $16.40 - $20.20/hour Rate depends upon state/market OTO Development is pleased to present a wonderful career opportunity for a Catering & Sales Events Coordinator. This key team member will be responsible for reviewing, managing, coordinating, and executing all groups, events, and banquets related functions, as assigned by the Director of Sales, Sales Manager, and Catering Manager, facilitating communication between the client and the hotel throughout the pre-planning and execution phases. Duties Include:_ * Maintain key catering accounts and closing incoming inquiries. * Field any/all incoming calls, inquires & correspondence and ensure they are distributed to the respective manager or managed in a timely fashion * Prepare all event documentation and coordinates with sales, hotel departments and customer to ensure consistent, high level service throughout pre-event, event and post event phases. * Obtaining and input Event Details from clients and enter into Banquet Event Order (BEO) * Prepare all BEO packets each week and update daily event postings. Attend all applicable hotel meetings: department, staff, food and beverage, sales, BEO, and Group Resume * Lead and facilitate daily/weekly distribution of event / sales reports * Advise sales staff as to ability to accommodate client demands including phone requirements, fit of available space and materials such as booths. Assist sales staff in promoting hotel, developing leads and securing re-bookings * Create event diagrams for clients * Collect and input final counts for events, manage billing and logistical process, update event management information into CRM system, award loyalty points * Coordinate catering and conference service activities and client specifications to deliver smooth execution of meetings and events. * Receive convention files from Sales and Catering Department and review them for accuracy and thoroughness * Maintain sales and catering files and maintain detailed notes in sales system on all correspondence with clients. * Provide outstanding customer service to clients while they are in the hotel * Assist in building strong relations with other hotel departments, employees, and outside agencies and vendors * Prepare and send thank you letters and evaluation forms to assigned groups * Assist with group activities and handle all wedding leads Requirements:_ * Previous sales experience required * Social media experience required * Previous hotel rooms experience is preferred * Ability to communicate with clients, guests and other associates both verbally and in writing * Ability to travel with the potential for overnight travel * Position will require long hours at times including nights and weekends * Schedule will vary with days of week and * PMS, Delphi experience preferred * Detail oriented, goal driven, and good work ethic * Decisive, good negotiator, and influencer * Strong understanding of revenue maximization and yield management * Capable to sell and close Rooms as well as Food and Beverage * Strong verbal and written communication skills * Participates in staff meeting, BEO/Resume weekly meetings and Manager on Duty program * Ability to lift up to 30 pounds occasionally * Valid driver's license Why OTO?_ Since 2004, OTO Development (OTO) has delivered excellence in hospitality and is one of the fastest-growing hotel development and hospitality management companies in the nation.
