Yard Boss is expanding their team and hiring an Office and Customer Support Specialist to help facilitate their growth in their industry. Why work for Yard Boss? * Year-Round, Full-time Position * Competitive wage range of $20 - $25 an hour depending upon experience * Non-exempt - eligible for Overtime pay * PTO * Paid Sick Days * Paid Holidays * Performance Bonus-eligible Job Summary Under the direct supervision of the President this position provides administrative and secretarial support for the company. In addition to typing, filing and scheduling, performs duties such as, obtaining supplies, coordinating direct mailings, data entry, and office organization, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information dealing with Clients providing excellent customer service in all interactions. Will be the primary person for customer interactions such as by email, chat, and phone. Deals with a diverse group of important external customers as well as internal team members at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload. Responsibilities * Answers phones for the Company. Fields or directs calls. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other team members to cover phones - will be the first contact. Phone answer rate of 85% is required. * Assists Customers with questions regarding the following: complaints, scheduling, cancellations, payments, billing, or any other questions via phone or email per company guidelines. * Data Entry of Client Information as well as other items as directed by Superiors. * Inside sales by phone, email, etc. - responsible to be the front line for new sales and processing upsells, helping the company hit its sales goals, creating contracts, and onboarding of new clients, etc. * Administers and updates the scheduling of customer's work as directed. * Assists with dispatching and other related tasks. * Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information and sends packages and other documents as needed to potential and current customers. * Assists with minor human resources functions. * Assists with light bookkeeping tasks. * Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Owner/President which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures, researching products and costs, gathering accurate information for estimates, and then generating and submitting estimates and invoices to Clients. * Organizes the office area and assures inventory is always stocked. Required Skills, Experience, and Other Things * High School Diploma * Three (3) years of customer service experience * Two (2) years of administrative experience * Proficiency in Microsoft Office, Office 365 * Proficiency in CRM Software * Good Data entry skills * Excellent phone etiquette * High Energy and dynamic personality * Excellent multi-tasking and time management skills * Clear and effective communicator both verbal and written * Professional, detail oriented, organized, team player, flexible, and dependable * Self-motivated, independent, needing little supervision * Meticulous about ensuring that data and tasks are completed on time and accurately * Ability to manage and handle frequent interruptions in workflow, while reprioritizing when necessary * Understands that while process and rigor are important, a human approach, common sense, trust, and follow through are at the core of the Company's values * English fluency - reading, writing, and speaking Preferred Skills and Experience * Associate degree * Five (5) years of related experience * Expert in Microsoft Word and Excel * Experience working for a small business in the office is ideal * Experience working for a service business in any capacity in the past We look forward to speaking to you about this position!
