Account Specialist Location: Rising Sun, Maryland Job Type: Full-Time About Us: The Service Account Specialist is responsible for supporting all day-to-day activity related to a specific key account. This includes processing and scheduling work orders, creating quotes, communicating directly with the client, coordinating with field technicians, and ensuring all work is properly documented and closed out. The role requires close attention to detail, strong follow-up, and the ability to manage service requests efficiently from start to finish while maintaining a positive working relationship with both the client and internal team. Key Responsibilities: * Review and process incoming work orders from customer portals (such as Service Channel). * Enter work orders into Service Titan and assist with scheduling coordination. * Update scheduled dates, ETAs, and job notes as needed. * Communicate with customers to confirm scheduling details, provide job updates, and answer general questions. * Check out with on-site technicians at the completion of jobs to review work performed and ensure all close out procedures are followed. * Ensure field technicians are clocking into jobs properly and filling out required job notes and documentation in Service Channel. * Assist in closing out work orders by uploading required photos, forms, and customer-required documentation. * Submit invoices through customer portals and Service Titan following company procedures. * Order materials as directed to support job completion. * Monitor work order status and follow up internally or externally to ensure jobs stay on track. * Maintain organized records of open and completed work for internal use. * Provide general administrative support to the service team and office staff. * Assist with dispatching and scheduling coverage as needed. What We 're Looking For: * Strong organizational skills with the ability to manage multiple tasks and deadlines. * Clear and professional communication skills (written and verbal). * Customer service mindset with a focus on responsiveness and follow-through. * Detail-oriented with a high level of accuracy when processing work orders and invoices. * Ability to work closely with field technicians to gather job details, ensure proper documentation, and follow closeout procedures. * Comfortable using technology and learning software platforms (Service Titan, Service Channel, customer portals). * Problem-solving skills with the ability to follow up and resolve scheduling or job-related issues. * Ability to stay organized and manage priorities in a fast-paced service environment. * Team player with a willingness to assist other office staff and departments as needed. * Basic knowledge of HVAC or mechanical service work (strongly preferred).
