Job Description Sales and Marketing Coordinator

The Sales and Marketing Coordinator at The Iveys Hotel is primarily responsible for general office duties to support the Sales and Catering Department to include detailing and processing of events and room blocks, assisting with the execution of all events, and maintaining customer and company profiles. The Sales and Catering Coordinator must assist to fulfill the needs of all inbound group inquiries for events and/or room blocks, proposal generation, event detailing, account management, upselling, and execution on day of events. Also, provide high-level administrative support by conducting research, preparing statistical reports, collecting and processing sensitive data, resolving guest issues, and performing clerical functions.

Responsibilities:

  • Assist Sales and Catering office with day-to-day operations to include file creation, creating and updating documents with contract information, maintain accuracy in meeting management software across all events, creating Banquet Event Orders.
  • Coordinate important dates on planner calendars such as, deposit due dates, attrition release, rooming list due dates, etc.
  • Serve as a point of contact for clients and communicate in a polite, clear, and confident manner using a variety of mediums email, phone, virtual platforms, social media, and face-to-face interaction.
  • Answer questions regarding group rooms, venues, catering, and provide clients with guidance to best match our services with their needs.
  • Create bookings for catering events, private dining, and guest rooms using OpenTable, Salesforce, and OPERA software systems.
  • Input group inquiry information for lead tracking and follow-up.
  • Gather materials to assemble information packets to include promotional materials, sales kits, and amenities.
  • Facilitate hotel and venue site tours for potential and returning clients.
  • Responsible for accurately interpreting written and verbal instructions associated with the Banquet Event Order (BEO) and directing staff on all phases of the event.
  • Coordination of all aspects of assigned banquet functions to ensure that all standards of quality, presentation, and guest satisfaction are maintained.
  • Collects any consumption revenue and completes the Daily Sales Report for group billing.
  • Communicate effectively with guests, all levels of management and co-workers.
  • Works together with all Departments including but not limited to Housekeeping, Front Desk, Food and Beverage, Marketing, Third-party Vendors actively communicate and collaborate with all other departments to ensure the best possible experience for each group.
  • Participate in departmental meetings with the aim of improving the efficiency, communication, and overall quality of work.
  • Maintain the proper care of equipment and food & beverage items.
  • Maintain accurate knowledge of guest rooms, meeting space, event spaces, and catering menus.
  • Always exhibit professional and courteous behavior.
  • Ability to work in a very fast paced environment.
  • Availability to work evenings, weekends, and holidays with frequency as needed.

Qualifications:

  • Excellent oral and written communication skills
  • Excellent organizational skills
  • Ability to prioritize tasks and handle numerous assignments simultaneously.
  • Must be able to understand the relationship between time and amount of work to be done in order to have functions ready at required time.
  • Proficient in Microsoft Excel and Word.
  • Experience in Salesforce and OPERA highly preferred.
  • Must be able to pass a background check.
  • Must have reliable transportation.
  • Nights, weekends, and holiday availability required.

Job Type: Full-time

Pay: $40,000.00 - $48,000.00 per year
