Full description of the position

The Marriott Orlando Downtown Hotel is seeking a high-energy, creative, result-oriented Sales and Event Coordinator to join our dynamic sales and event team. Responsibilities include, preparing and sending agreements, prospecting for new business via telephone and email, responding to current clients and new inquires, compiling reports, entering sales information into Sales Systems, Building Group Room Blocks and daily use of Microsoft Office and effective communication with the Sales, Revenue and Operations Team.

Job Purpose: To achieve sales and profitability goals for the hotel by implementing sales programs in assigned markets and working with clients to ensure top-notch quality service. The Sales & Event Coordinator will provide high-level administrative support by conducting research, preparing statistical reports, resolving guest issues, performing clerical functions such as preparing correspondence internal and external, managing a small number of accounts, receiving visitors, and other miscellaneous task assigned by the General Manager and the Director of Sales. Given that the Sales & Event Coordinator is a liaison between Marriott Orlando Downtown Hotel and its clients, excellent writing skills, concise verbal communications and listening skills are necessary.

Job Responsibilities:

  • Generate group and/or corporate leads through internet prospecting, networking, and telemarketing
  • Qualify sales leads generated by General Manager and Sales and Event Team
  • Send a list of leads to Segment Sales Team Daily
  • Take booking inquiry information via phone/email and prepare proper paperwork
  • Handle Individual/Group Reservations and Rooming Lists for clients/groups as needed. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction
  • Assist customers with plans for meetings, as well as scheduling and monitoring meeting functions
  • Confidently conduct property tours with clear communication of hotels' amenities
  • Assist with follow-up on rooming lists, direct bill, and other logistical requirements for previously booked business
  • Ensure the prompt servicing of groups and accounts. Assist with major group check-ins as needed
  • Organize, file and retrieve documents in appropriate files/binders to maintain essential records used in the department operation
  • Follow consistent sales office procedures by updating account database; record account activity, call reports, traces, and history in CI/TY

Update BT Volume Report and GRC, Group Rooms Control Log by due date Generate guest room revenue for the hotel by booking inquire business (rate guidelines will be

provided).

  • Generate meeting room revenue for the hotel by booking inquire business (rate guidelines will be provided)
  • Uses various computer word processing and other software packages to enter data, produce contracts, correspondence, forms, memorandum and other documents.
  • Be required to be cross trained with other departments and may be required to perform such task on a periodic basis
  • Participate in hotel sales blitzes on a regular basis
  • Attend hotel meetings to exchange product information and coordinate work activities with other departments.

This associate must follow all guidelines and training set forth by management and the hotel Marriott brand.
