Hutton Companies is 45 year old privately owned Multi Family Real Estate company located in Anaheim, CA is seeking an experienced Administrative/Accounts Payable Assistant for the Accounting and Contract Department. We are adjacent to the Angels Stadium.
SUMMARY:
Accounts Payable Assistant of Hutton Companies and its subordinate entities. Assist the Sr. AP Specialist and Contract Manager and provide support to the Ownership, Executive, Accounting and other Department as required.
5+ years in Property Management experience in multi family and retail industry a must.
Yardi Knowledge a must.
This is a 100% onsite position and no remote work.
Skills required:
- Yardi Accounts Payable and Property Management module a must.
- Excel immediate level to advance skills is a must.
- Word - immediate level to advance skills is a must.
- Adobe - full version skills is a must.
- Strong interpersonal skills and a team player is a must.
- Ability to interact with vendors and guests both on the telephone and in person.
- Excellent written communications to include grammar and spelling; verbal skills, including being courteous and respectful in both areas.

- Strong organizational and planning skills.
- Able to manage deadlines in a timely manner.
Responsibilities:
Administrative Assistant / General Office
- Coordinate service calls for copiers, printers, etc.
- Inventory and prepare office and maintenance supply orders.
- Assist with photocopying, scanning, and filing (both hard copy and digital).
- Maintain hard and digital file inventory.
- Prepare communications and documents as requested.
- Assist with correspondence for all departments.
- Schedule shredding pickups.
- Coordinate employee birthday celebrations.
- Responsible for restocking of kitchen supplies.
Front Desk
- Greet and manage guests in a professional manner.
- Answer the telephone.
- Receives and distributes US mail, packages, etc.
Accounts Payables
- Receive via email or US mail.
- Review for correctness. Contact vendors regarding any issues.
- Route through the Yardi system designating coding and paying entry.
- Follow up on outstanding approvals.
- Input new vendors and obtains W9s as needed.
- Invite new vendors to VendorShield as required.
- Notify non-compliant VendorShield vendors as required.
Property Management
- Work and communicate with Property Managers.
- Obtain quotes as requested.
- Create commitments and purchase orders for properties and corporate office.
- Assist in overseeing Corporate vendors on-site.
- Assist in reviewing tenant insurance.
Construction
- Assist with the preparation of construction/consultant contracts.
- Maintain preliminary notice logs.
- Maintain contract and change order libraries.
- Assist in obtaining and filing lien releases.
- Assist in tracking subcontractor WRAP insurance.
Education and Experience
- Accounting background experience in the accounts payable.
- Real Estate Accounting Minimum 5 years of experience in the current market
- environment a must.

LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS:
Ability to work with mathematical concepts such as fundamentals. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY:
Ability to define problems, collects data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Job Type: Full-time
Pay: $25.00 - $27.00 per hour
