Purpose
Performs administrative and key initiative support for Sales & Marketing Directors; collaborates internally and externally with multiple stakeholders to increase team efficiency and effectiveness
Key Responsibilities
- Provide direct support to the four (4) Directors (located across multiple states and time zones, Eastern to Pacific) that comprise the Sales & Marketing Leadership Team (SMLT)
- Organize, schedule, and coordinate internal and external meetings and conferences, including agenda distribution, travel arrangements, meals, distribution of follow-up communications, and related topics.
- Identify scheduling conflicts and propose solutions
- Assist in SMLT department or committee meeting preparation, including the creation of agendas, meeting reminders, taking and transcribing notes to distribute to meeting participants, sending recap emails, tracking action items, and recording meetings, as necessary
- Prepare and process expense reports
- Assist in compiling data for various projects
- Assist Directors in hiring process, with a specific focus on onboarding (submitting system/hardware requests, etc.) and collaborate with HR on recruiting
- Coordinate other processes including limited purchasing tasks
- Provide support with PowerPoint and Excel tasks, focusing on regular updates and formatting requirements
- Develops and maintains working knowledge of Roseburgs customers, industry, products, and operations
- Develops and maintains strong relationships across internal departments, particularly with other administrative assistants

Required Qualifications
- Associates and 2 years of related experience or any equivalent combination of experience and training that demonstrates the ability to perform the key responsibilities of this position
- Ability to work well across internal and external organizational levels
- High level of proficiency in Microsoft Office (PowerPoint, Outlook, SharePoint, Excel); desire and ability to utilize technology to increase output
- Excellent verbal, written and interpersonal communication skills
- Flexibility and ability to manage multiple tasks in multi-Director environment
- High degree of judgement, diplomacy, tact
- Proactive, solution-focused mindset; strong problem solving and organizational skills and attention to detail
- Discretion and sensitivity to confidential matters

Preferred Qualifications
- Bachelors degree in Business Administration or related field
