Full description of the position
Retail and Office Commercial Property Manager
DUTIES AND RESPONSIBILITIES (including but not limited to the following)
- Owner and tenant relations; provide responsive service to tenants including responsibility for day-to-day calls, routine follow up, work requests, distribution of tenant memorandums, coordination of move-in and move-outs, events and responding to owner and tenant special requests
- Adhere to management agreement contracts, ensuring that plans meet the property owners and CREMs standards, policies, goals and objectives
- Preparation of annual budgets and CAM reconciliations
- Review and approve operating statements for compliance with approved budgets. Review proposed major expense variances and make recommendations to property owners
- In conjunction with property owners, identify and analyze major capital expenditure programs; manage the bid process relative to capital projects and maintenance contracts, ensuring compliance with terms outlined in the management agreements
- Approve and oversee the coding of all invoices
- Ensure timely submittal of monthly operating and financial reports
- Ensure that leases are adequately administered (i.e., options, billing, rental increases, CPI adjustments, COIs, sales reports, etc.)
- Monitor rent rolls, lease expirations, prepare letters of intent and lease amendments as may be required by management agreements
- Ensure timely rent collections in accordance with lease documents, follow up on delinquencies, preparation of default notices and assessment of late fees; monthly review of tenant ledgers and follow up on collection
- Work in conjunction with leasing agents by providing information and bidding as requested within the scope of property management duties; lease preparation as may be required
- Oversee the administration of all contracts (maintenance vendors, supplier agreements, construction contracts, etc.) to ensure compliance, performance, insurance requirements and cost effectiveness
- Maintain property management database for the assigned portfolio
- Ensure timely completion of fire/life safety annual inspections and maintain appropriate records
- Review preventative maintenance programs, tenant retention programs, and emergency preparedness programs as needed; coordinate fire/life safety procedures training for tenants (where applicable)
- Tour properties on a regular basis and conduct property inspections. Ensure follow-through of any required corrective action
- Respond immediately to accidents, personal injury, property damage, etc., work closely with insurance carrier to ensure accountability of other insurance carriers
- Perform administrative functions including general correspondence, filing, accurate and timely record maintenance and retention and tenant/vendor contact lists
- Internal and special projects for the company, internal and/or external involvement in committees and organizations
- Actively participate in a minimum of one professional organization including attendance at meetings, etc.
QUALIFICATIONS
- New Mexico Real Estate License
- High school diploma or equivalent
- CPM, ACoM and/or RPA certification preferred
- 2+ years working in real estate with property management experience
REQUIRED SKILLS
- Working knowledge and experience in financial accounting in commercial real estate, financial reporting and budgeting necessary
- Ability to read, interpret and fully understand leases and related documents; must be able to abstract lease terms
- Hands-on familiarity with tenant improvement construction projects; ability to plan, organize and coordinate multiple projects, ability to read and understand construction specifications and blueprints
- Strong literacy in MS Word, Excel, Outlook and Adobe products
- Highly organized and skilled with time management; ability to prioritize and multi-task
- Excellent written and oral communication skills
- Ability to handle adverse circumstances and/or emergency situations
- Strong customer service/tenant relation skills
- Strong ability to work in a team environment and maintain positive relationships
- After hours emergency on-call availability
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
