Job Purpose
The Sales Administrative Assistant will provide administrative support for external and hybrid wholesalers, including filing, invoice processing, travel arrangements, expense reports, appointment scheduling, calendar maintenance and ordering marketing supplies, in addition to other duties. This includes utilizing Oracle for expense reporting and Non-Cash Compensation (NCC) reimbursements, and any related reconciliations or inquiries. The Sales Administrative Assistant will also assist with wholesaler reporting and correspondence.
Essential Responsibilities
- Drafts correspondence and documents, which may include confidential information pertaining to the company and associates.
- Assists with administrative support, including creation and maintenance of reports, charts, spreadsheets, documents and presentations.
- Schedules and maintains calendar of appointments using various tools, Outlook and Salesforce.
- Processes financial documents, including invoices and expense reports.
- Reviews documentation/receipts to ensure accuracy and completeness.
- Collects and maintains file of receipts to coordinate expense report submission.
- Processes/submits NCC reimbursements to ensure complete documentation, accurate general ledger coding, and compliance with firm policies.
- Performs research to respond to internal and external inquiries in a timely manner.
- Works closely with Accounts Payable and Oracle Support to ensure accurate information is provided.
- Provides periodic reports and communications regarding required deadlines and outstanding items.
- Answers inquiries pertaining to expense reporting and NCC reimbursements.
- Schedules and maintains travel arrangements, including airfare, transportation and hotel.
- Maintains marketing, office and promotional supplies, as well as orders new supplies.
- Establishes, maintains and updates files and records.
- Coordinates mailings on a as needed basis, internally and externally.
- Administers special projects as required.
Knowledge, Skills and Abilities
- Professional written and verbal communication skills, including the ability to edit and compose correspondence.
- Solid interpersonal skills and ability to communicate effectively with external and internal partners and peers.
- Proficient in Microsoft Office software and other relevant software applications.
- Basic knowledge of financial services industry terminology.
- Ability to prioritize, coordinate multiple activities and follow up on projects with minimum supervision.
- Must be detail oriented and focused on accuracy.
- Strong organizational skills.
Qualifications
H.S. Diploma or equivalent (G.E.D.) required.
Associate's Degree preferred.
1+ years experience in an administrative role preferred.
Experience with Oracle expense preferred.
