Full description of the position

Summary

Our Sales Coordinator will provide high-level administrative support to the Sales and Catering team and assume responsibility for proposing, contracting, and servicing rooms only bookings within their Sales Performance Revenue goal.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Guest Service

· Maintains guest service as the driving philosophy of the operation

· Personally demonstrates a commitment to guest service in responding promptly to guests’ needs

· Committed to making every guest is satisfied

· Develops added-value customer service programs

· Empowers hotel staff to deliver guest service by encouraging and rewarding responsive guest assistance

· Meets or exceeds guest satisfaction measures

· Ensures hotel standards and services contribute to the delivery of consistent guest service

· Implements and practices guest service initiatives, trains, and performs to Pinnacle Hotel Management Standards

Sales Coordinator

· Coordinate with Sales Managers to execute group booking accordingly in appropriate systems. Any additional group changes will be updated by the sales coordinator.

· Set up accurate billing for each individual group.

· Enter pertinent information into Sales, POS and Event Management systems.

· Answer and maintain all incoming calls from guest/clients regarding information request, booking updates, or hotel information.

· Prepare proposals and contracts on an as-needed basis. Fax, copy, mail, distribute proposals as requested

· Enter contractual event data for programs into Delphi system on an as needed basis.

· Upon receipt of a signed contract, ensure that the data in the Delphi system is accurate. Prepare copies of the necessary information for Sales Managers, DOS, DOC, and F&B team (i.e. turning a file “definite”).

· Handle inquiries about rooms for VIPs. Complete VIP paperwork, route for necessary signatures, route to each pertinent department and follow through with amenity requests, etc.

· Learn, understand, and execute basic FOSSE tasks such as posting charges, entering group rooming list reservations, pulling rooming list, etc.

· Process reservations, confirmations, cancellations, special handling alerts, and amenities as needed; process and confirm room reservations.

· Build rates and inclusive packages specific to each Group (create routing profiles deposit policies cancellation policies etc.).

· Process travel agent commissions.

· Act as liaison between group and Sales Team

· Input group rooming list and facilitate all rooming list changes and billing changes upon receipt from conference service coordinator assigned to the group.

· Manually assign specific accommodations based upon feature and/or location requests.

· Provide reservation and pick up reports upon request.

Qualifications

  • 2 years of experience in hospitality industry assume the role Guest Service Agent, Banquet Caption, or related positions
  • Delphi and Marriott Front Desk system is preferred
  • Flexible schedule with the ability to work evenings, weekends and holidays if needed
  • Strong understanding of customer and market dynamics and requirements.
  • Strong computer skills and proficient in MS Office.
  • Well organized, detail oriented with excellent follow-up skills.
  • Excellent communication skills and passion for creating ridiculously personable experiences for guests

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
