Full description of the position
Primary Responsibilities
- Answers phone calls from Tenants, informs the Property Manager about the issues, and dispatches vendors with the property manager’s guidance.
- Understands the limits of landlord’s responsibility for each property so that Tenant calls can be screened before Property Manager involvement.
- When work is performed, follows up to be sure the complaint is resolved and that the cost is billed back if it is the Tenant’s responsibility.
- Manages tasks related to Incident Reports, while keeping the PM office informed.
- Makes the necessary calls to Tenants to advise them about upcoming events such as paving of parking lots, capital improvements, maintenance, property inspections, etc.
- Monitors the completion and notifications of all Tenant service requests through Building Engines. Maintains billable maintenance request and ensure signed forms are received and billed back accordingly.
- Creates and distributes the weekend work schedule.
- Organizes/purges file room. Remove duplicates and scan necessary documents to Smart Cabinet
- Works with PMC/PCM to organize shared drive.
- Ensures that all vehicles and equipment are properly insured and registered and maintains related reports.
- Works with PMC to maintain a master list of all utility meter numbers and account numbers.
- Works with PMC to transfer utility accounts when Tenants move in and out and when new properties are acquired.
- Close all current supplier accounts that MCG has access to and re-open under our name for own sole use.
- Updates Property Management Manuals
- Prepares FedEx packages and Certified Letters.
- Schedules meetings for Property Managers.
- Manages processes related to employee uniforms and outdoor apparel.
Other Responsibilities
- Provides vacation and lunch-break relief for the receptionist.
- Carries out other duties as directed by management.
Required Skills, Education, and Experience
- Bachelor’s Degree, or like experience
- 3-5 Years’ Experience
- Yardi Voyager
- Intermediate Microsoft Excel
- Building Engines
Classification: Non- Exempt
Reports to: Property Management Operations Manager
Supervisory responsibilities: None
Work environment: Office Environment
Hours:9AM to 6PM
Location: Bronx, NY
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
