Overview:
Our boutique real estate office is seeking an Office Administrator / Transaction Coordinator (TC) who is a motivated, multi-tasker looking to engage in all things real estate. Act as a supportive role to the success of a fun & dynamic team as a TC and facilitate behind the scenes projects to help the company run efficiently and effectively.
Payment:
Hourly compensation based on experience + bonus potential after 90-days
Responsibilities:
This position provides support to all members of the team, with daily interaction and assisting with operational duties. Must have the ability to handle multiple tasks under deadlines, have good judgment, be efficient, dependable, and have a professional, helpful attitude. Learn to anticipate the needs of the team.
- Ideally located in north county for shorter commute times. The office is located in Carlsbad. Business casual dress. *
Responsibilities:
- Help manage the transaction file once a property is put into escrow from start to finish
- Ensure all required documents are delivered to and signed by all parties
- Stay informed and educated on CAR documents and changes made to the contracts/disclosures
- Work closely with escrow officers and TC from other parties
- Manage shared calendar, including key contract dates and milestones
- Assist in coordinating and scheduling inspections with third party vendors, gather bids for repairs, seek reliable contractor sources
- Ensure all sales files and necessary documents are complete, compliant and closed successfully
- Help prepare Purchase Agreements, Listing Agreements and other related real estate documents generated through CAR Forms
- Work closely with team to help manage the CRM database of clients and sphere through the Follow Up Boss platform
- Help maintain the pipeline of future business via various points of contact: text, call, email, etc.
- CRMLS duties: Help set up home searches, run comparative market analysis for clients, enter new listings, etc.
- Adapt to changing circumstances quickly and effectively, good at problem solving
- Feel comfortable meeting with clients from time to time
Qualifications:
A valid Real Estate License is required for this job
Already a licensed realtor or is pursuing real estate license
High school diploma or GED required, preferably some college experience
Driven by a desire to provide excellent customer service and a great customer experience
Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly
- Must be a licensed Realtor in the state of California, or be willing to become licensed immediately
- Transaction Coordinating experience is a must
- Work from the Carlsbad office 3-4 days/week
- Proficient in Zipforms, Docusign, CRMLS, CRM (Follow Up Boss or similar), PC or Mac & Google Drive
- Must have strong attention to detail, stellar organization and work well as a team, and possess sharp writing & grammar skills
Job Types: Full-time, Part-time
Pay: $25.00 - $30.00 per hour
