The Mission Of The Role
The Mission of the Sales and Customer Service Rep:
To secure at least 15-20 qualified appointments per month that SIT FOR consultations or discovery visits.
1. To generate a minimum of 15-20 new Discovery Session appointments per month that book and show up for appointments, ready to meet with our therapists about speciality physical therapy care. NO COLD CALLING; we ONLY respond to people who have reached out to us first, either by calling us or by filling out forms on our website.
2. To generate at least 5 referrals per month by calling back past patients and asking who you could send a free voucher pack to.
3. To re-activate at least 5 patients every single month who have not been in to see us in over 12 months.
4. To “rescue” 3 drop-offs or requests to cancel per month.
5. To follow-up with patients after 90 days of discharge and find 2 every month who need to come back.
Responsibilities and Activities:
To call and follow-up on inbound leads following the in-house Sales Scripts. Being able to hold a lengthy (15-20 minute) conversation with our customers in person and on the phone ensuring our clients are seen, heard and well cared for is a must. We only reach out to people who have contacted us first, through our direct marketing and word of mouth systems.
Provide an exceptional waiting room environment for our patients that they’ll look forward to coming back to. This includes starting conversations with clients who are new to our clinic and remembering and interacting with our clients who come in for regular appointments.
Be able to talk about sensitive and intimate subject matter; our clients are looking for help with pelvic floor issues, which means we ask questions to find out how their pain is impacting their lives and in particular their pee, poop and sexual functions.
To make 20+ dials per day to follow-up on prospects who have made inquiries with us with the goal of booking appointments/discovery visits for our pelvic floor therapists.
To appropriately document all communication with leads, TAG and update all call outcomes in our Google Drive and using our CRM, Infusionsoft.
To confirm consultations and discovery visits, and where appropriate, reschedule them.
To follow-up on patient reschedules, no shows and cancels.
To manually track calls and activities, as well as provide bi-weekly reports to the Owner on all activities.
To prepare gift baskets ahead of discovery or initial evaluation visits to help us nurture and WOW our clients.
To call and offer any current specials to warm leads that are happening in the clinic.
To call “sweet spot” clients and ask for referrals or tell them about quarterly referral campaigns that are happening in the clinic.
To assist the clinic in staffing at workshops and community events.
Develop a deep understanding of all products and services offered to leverage them in the lead nurturing process as well as being able to overcome common objections to cash pay physical therapy.
Organize and plan all schedules with accuracy – maximizing efficiency and revenue for the clinic.
Foster deep relationships with patients/clients ensuring satisfaction of our customers.
Maximize our Word of Mouth referrals by asking for Google Reviews, using in-house marketing systems like writing and sending handwritten thank you notes and sharing about our Referral for Reward program to our established clients.
The Role:
Because we’re growing, we are looking for a full-time Sales and Customer Service Rep to join our team of therapists, admin staff and marketing consultant! In this role you’ll be working to follow-up on the leads coming into our office to schedule appointments, field questions, follow-up consistently on inquiries, prepare information and gift packages and assist in maintaining the integrity of the company’s database.
You MUST have previous experience in SUCCESSFULLY SCHEDULING APPOINTMENTS and/or other relevant phone sales experience. Please ONLY apply if you have been successful in the role of scheduling appointments and or phone/sales and prospecting, as the primary outcome of your role is to secure at least 15-20 qualified appointments per month.
Your Compensation:
This position offers a solid base salary starting at $18 + / hour plus bonus structure, medical/dental/vision insurance and paid time off. You will be the first point of contact with our business, with an extensive book of white-hot leads, using an amazing CRM that makes calling leads quick and easy. Our clinic is closed on weekends and major holidays.
If you are comfortable starting conversations and talking with strangers at length, both in person and on the phone, you could be the person we're looking for.
Being “organized” is a top priority for this role, as well as being able to multitask, prioritize projects, track personal performance and prioritize the day.
You must be comfortable taking payments, talking about money and comfortable handling customer concerns and questions about cost. PLEASE ONLY APPLY if you can handle conversations about money/cost. We are a private medical practice and the conversation about money with clients cannot be ignored.
