We are looking for a motivated Executive Sales Administrative Assistant to join our growing team in our Boston office!
Responsibilities include:
Support the President of US Retail Distribution and other senior leaders.
Responsible for calendar management and scheduling for department staff.
Arrange travel and assist with event planning for department staff.
Prepare expense reports, process invoices and track expenses for department staff.
Organize and attend meetings, take detailed notes, and assist with project management.
Interact directly with key internal personnel and clients in a highly professional manner.
Review incoming communications and coordinate an efficient and timely response.
Respond independently to inquiries and situations using discretion and judgment.
Prepare documents and draft communications on behalf of senior management.
Apply retention principles to properly store department records and confidential data.
Maintain department policies & procedures. Ensure records are accurate and up to date.
Complete various ad hoc projects and support rollout of strategic initiatives.
Train and assist teammates to utilize business applications and administrative systems.
Work with others to ensure the effectiveness of the sales support ecosystem.
Identify opportunities to enhance and optimize internal processes.
Job Requirements:
Highly motivated, enjoys collaborating and thrives in a team setting.
College Degree preferred with 1 to 2 years of business experience.
Proficiency with MS Office suite (Outlook, Word, PowerPoint & Excel).
Excellent organization and time management skills.
Detail orientated and able to work in a fast-paced environment.
Ability to set priorities, balance multiple tasks, meet deadlines.
Adaptable to rapidly changing priorities and able to handle confidential information.
Strong interpersonal and communication skills, both verbal and written.

Salary & Benefits

The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
