Full description of the position

Target Start Date: IMMEDIATE
Schedule: Full Time: Monday through Friday 9am to 5pm.

Position Summary:
The Phones and Online Sales and Customer Service position is responsible for answering phones and managing online inquiries while ensuring a seamless, 5-star experience for Radiance Medspa patients in line with Company's mission, purpose, and values. The Telephone Customer Service Associate works on a team of Care Coordinators who, together, serve as the primary point of contact for patients outside the treatment rooms and throughout their journey as a patient of the Medspa.

Primary Responsibilities:
❏ Lead Management and Booking
  • Answering Phones and managing Incoming Online Leads (Text and Email)
  • Routing incoming calls to the correct staff members
  • Booking and Changing Appointments
  • Clearing and preparing patients for appointments/treatments
  • Reviewing Appointment Cancellation Policy with patients
  • Collecting Payments and Deposits at time of booking
  • Answering questions about products and services
  • Performing Consultations and Sales
  • Converting inquiries to consultations and appointments
  • Providing prompt and efficient customer service
  • Assisting with patient loyalty and financing programs
  • Selling memberships
  • Providing timely and accurate patient account information to patients
  • Sales outreach, targeted marketing, patient follow-up

❏ Other Essential Functions/Requirements:

  • Requesting patient reviews
  • Managing last-minute call-outs by staff
  • Pulling and preparing reports
  • Participating in team huddles and helping meet team goals
  • Training and collaborating with others as needed
  • Achieving and maintaining expertise in the Medspa industry and all Radiance products/services
  • Developing and maintaining an understanding of the business – goals, priorities, key metrics
  • Adhering to all local and federal regulations and HIPAA

❏ Experience/Requirements:

  • Min 2 year Telephone Sales / Customer Service Experience
  • Medspa / Spa / Salon / Beauty Business / Medical Office Experience Desired
  • Must have exceptional written and verbal communication skills
  • Must be able to work on phones and computers for an extended period of time
  • Must have strong computer/technical skills.
  • Must be able to quickly master the use of all company software including Practice Management Software (currently Nextech), CRM software, Appointment confirmation/retention software, and Microsoft and Google programs/documents.
  • Highly organized, energetic, self-starter
  • Genuinely enjoys serving and helping others
  • Loves working on a team
