Event Sales Manager
Manages, coordinates, and executes events from the receipt and response to the RFP to the follow through and successful completion. Monitor all contractual agreements for events such as: meeting space, food and beverage, and special concession. Responsible for maximizing food and beverage revenues from assigned groups by solicitation of affiliate business and up-selling, as well as handling walk-in clients and receiving visitors and guests. Effectively communicating to all hotel departments the information necessary to successfully execute the group’s needs while maintaining a good client relationship will be key in this role.
ESSENTIAL FUNCTIONS
Maintain strong client relations and ensure that convention specifications are communicated and executed for a successful meeting experience for the meeting planner and attendees.
Participate in daily RevMax meeting to send proposals and contracts, as well as review other important information with the client to finalize contracts and conduct a successful group experience, i.e., room block, cut-off date, special concessions and attrition clause.
Monitor and enforce program deadline dates and work with client to release meeting space not needed to maximize hotel revenues.
Collaborate with Account Manager to solicit new and existing accounts to meet/exceed revenue goals.
Monitor convention activities on-site to ensure accurate and timely execution of convention arrangements.
Produce and distribute convention resume and communicate any changes updating information to hotel departments.
Answer phones, as well as maintain the upkeep of various filing systems including vendor information where necessary
Preparation of contracts which include merging in OPERA, as well setting up a files.
Distribute BEO’s for group and affiliates.
Accurately forecast group food and beverage revenues for assigned groups and affiliate business within a five percent variance.
Check suite blocks, special room concessions and update group housing coordinator with any changes.
Facilitate site visits and planning meetings for upcoming groups and potential affiliate business.
Verify credit information submitted in the account management software system at point of turnover, to include estimated amount of billing, billing type and appropriate contact updating information as necessary until departure.
Facilitate Pre/Post-Convention meetings and review bill with client.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills and abilities:
- Must be able to speak, read, write and understand the primary language(s) used in the workplace.
- Must be able to read and write to facilitate the communication process.
- Requires good communication skills, both verbal and written.
- Knowledge of types of room set-ups, capacities, relation to type of events, etc.
- Most tasks are performed in a team environment with the employee acting as a team leader. There is minimal direct supervision.
- Extensive knowledge of food and beverage products, proper preparation and presentation of food and beverage items.
- Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up.
- Ability to act independently with minimal or no supervision.
- Knowledge of hotel and competitive market.
- Must possess basic computational ability.
- Must possess computer skills, including, but not limited to, accounting programs, Microsoft Word, Excel and Delphi.
- Excellent inter-personal and sales-related skills.
- Exceptional organizational, supervisory skills.
- · Exceptional food and beverage knowledge and pricing.
QUALIFICATIONS:
Bachelor degree or equivalent experience
3+ years experience of catering sales and convention services experience preferred.
Experience with Opera a plus!
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
