Full description of the position

The Sales Operations Coordinator is responsible for coordinating and overseeing the flow of internal processes that ensure the sales organization runs smoothly. They will provide direct support to leadership, plan and execute department events, process booked sales, create ad-hoc reporting, and manage CRM and IT systems access. This individual must be an effective communicator with employees at all levels and maintain a high degree of confidentiality.


RESPONSIBILITIES

  • Plan and coordinate training events ranging in size from 5-300+ attendees
  • Manage all logistics including hotel contracting, speaker coordination, and communication
  • Ensure adherence to event budget and applicable expense policies
  • Travel up to 20% of time will be overnight travel
  • Research travel options, book, adjust and maintain multiple travel schedules
  • Own booked sales paperwork processing including internal distribution and communication
  • Manage the sales backlog and process split deals and spins
  • Manages sales onboarding and access management processes
  • Create and distribute critical business reporting to senior leaders
  • Schedule and host meetings using Zoom technology
  • Prepares agendas, presentations, and meeting visuals for department meetings
  • Serve as a liaison and point of contact for a range of staff and external stakeholders
  • Performs a wide variety of assignments which may be confidential in nature and require research to complete
  • Make department purchases as necessary, including but not limited to, office supplies, employee engagement gifting, and employee performance recognition items
  • Resolves administrative problems and answers inquiries concerning operations of the sales department
  • Prepare professional written communication distributed to multiple departments across the organization
  • Completes projects accurately and timely as defined by Paycom management

Education/Certification:

  • High school diploma or equivalent

Experience:

  • 2+ years of experience in an administrative function


PREFERRED QUALIFICATIONS

Education/Certification:

  • Bachelors degree in business-related field

Experience:

  • Zoom technology administrative user
  • Corporate travel booking system
  • CRM administrator

Skills/Abilities:

  • Highly organized with the ability to handle multiple projects and deadlines
  • Ability to work and thrive in a fast-paced environment
  • Ability to communicate and handle sensitive and confidential information with discretion
  • Ability to work with various technology tools/programs for organization, data management, etc.
  • Proficiency in Microsoft Office Suite, especially Word, Excel and PowerPoint, with the ability to prepare detailed reports, create presentations and efficiently manage correspondence
  • Strong attention to detail
  • Ability to produce reports and complete reports within deadlines
  • Ability to communicate effectively and efficiently, both verbally and written, with all employee levels, including managers, directors and C-Level.
  • Ability to adapt and respond effectively and promptly to changing situations and conditions
  • Strong initiative and ability to independently seek out information in a timely manner
  • Ability to work both independently and collaboratively
  • Knowledge of office procedures and equipment
