Sales and Catering Coordinator
Four Seasons Hotel and Residences Fort Lauderdale is looking for a Sales & Catering Coordinator that strives for excellence and is a highly motivated team player.
The Sales & Catering Coordinator provides administrative support to the Sales & Catering team. They follow up on sales leads and inquires, coordinate the planning of amenity arrangements, FAM Trips, Site Inspections, confirm reservations, prepares proposals and contracts and assist s a dynamic team including the Director of Sales, Director of Catering and the Sales Managers with any administrative tasks. In addition, the Sales & Catering Coordinator provides a variety of reports and maintains multiple informational databases. The position also functions as the Golden Key Operator to ensure that the property’s Golden system meets corporate standards.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
Administrative:
General office management including bill paying and expense reporting.
Assist with training and managing office interns and/or temporary staff.
Assist with problem-solving technology issues for the office and contact off-site support if needed, work with the Corporate IT “Help Desk” team.
Assist with phone coverage, f acilitate incoming group leads, handle client requests, execute contracts , deposits
Sales & Catering Support:
Provide sales support for Director of Marketing, Director of Catering, Director of Sales, Catering Sales Managers as well as shared services Sales Managers, focusing on Travel Industry, G roup, & C atering business.
Utilize GSC (Golden Sales & Catering) on a daily basis to enter sales leads, enter and update accounts and contacts, maintain customer profiles, enter sales activities.
Generate ad hoc sales reports from Salesforce and BI to support Sales & Catering team sales strategy and business objectives.
Create sales presentations in PowerPoint utilizing brand approved templates, customizing to deliver impact based on sales objectives.
Handle incoming requests from clients and hotels, act as primary client contact when Sales & Catering team are out of the office.
Facilitate incoming group leads and manage pipeline, handle client requests, and communicate customer needs to hotels.
Provide support for customer events as needed.
Coordinate logistics for sales appointments and presentations, arranging travel, restaurant reservations, catering orders, updating, and producing final schedule, preparing customer profiles, and reconfirming arrangements.
Support with creating inhouse BEO’s. print menus, draft group resumes etc .
Preferred Qualifications and Skills
Bachelor’s degree required
Minimum of 2 years in hospitality in a similar position
Ability to pay attention to details and multi-task in fast-paced environment
Knowledge of Opera and Salesforce systems preferred
Working knowledge of all Microsoft Office systems required
Proactive, organized and customer service-oriented
Strong communication and interpersonal skills, excellent writing skills
Successful candidates must possess legal work authorization in the United States
A solid working knowledge of all MS systems: Word, PowerPoint, Excel and Publisher are required
