Essential Specific Duties and Responsibilities:
- Greets and assists tenants and visitors in a prompt, courteous and helpful manner.
- Answers phone, screens calls, routes calls, takes messages and provides information. Responds to emails.
- Schedules leasing appointments/showings with prospects.
- Confirms upcoming apartment showings with tenants/prospects via email and/or phone.
- Files mail and general office data, reports, etc.
- Provides assistance with cross-departmental projects upon request.
- Enters data into cloud-based software.
- Ensures lease data are complete: required signatures, checklists, etc.
- Completes Security Deposit Reconciliations.
- Collects and records payments from tenants.
- Executes lease signings and processes new leases, including employment/income verification, rental history checks, etc.
- Maintains work area in a neat and orderly manner.
- Maintains efficient, professional, and effective communication via email, phone, and Slack.
Other as Needed Duties and Responsibilities:
- Helps with preparing resident move in packets and keys.
- Walks properties for lease violations or grounds work orders (i.e., take photos of and make notes of debris, bikes improperly stored, decorations on windows/doors, etc.).
- Other ad-hoc inspections or resident postings.
- Generates maintenance work orders.
- Executes other office policies and procedures necessary.
Expectations:
- May work extended hours during busy season (i.e., work a little early/late, to complete work items - rare occasions).
- Able to manage difficult and uncomfortable customer service situations.
- Practices an attention to detail.
- Will eagerly participate in other leasing and management activity as needed or required to run the company efficiently and successfully.
- Requires sitting for periods of time and using computers in a dynamic environment.
- May occasionally lift files or paper weighing over 15 lbs.
- Requires manual dexterity sufficient to operate keyboard, type 45 wpm, operate a calculator, telephone, copier, and other office equipment as necessary.
Qualifications:
- A bachelor’s degree desired, but not required. High school equivalent required.
- Prefer 3-5 years of progressively responsible experience in an office and/or administrative environment (ideal, but not required). Multi-unit residential experience highly desirable.
- Must have excellent project management, organization, communication (especially written) and interpersonal skills.
- Must be a team player and have the dedication and patience to work in a small company environment and maintain flexibility with schedule and job requirements within both standard procedures and a level of ambiguity.
- Computer Skills: Proficiency in Microsoft Word and Excel, and Google interface required.
- Ability to multi-task with competing priorities while maintaining a workload in a calm and professional manner.
- Must have a valid driver's license and a working licensed and insured vehicle.
- Must be vaccinated for COVID-19.
Compensation:
- Dependent on experience; entry level pay starts at $38K/yr.
