The Administrative Assistant will provide support to the Ministry and Operations Teams with focus on purchasing, sales, inventory and assets.

PRIMARY DUTIES (list order does not signify level of importance):

• Compose and prepares written correspondence, reports and other related documents
• Schedule appointments and maintain calendar for Directional Leaders
• Prepares and enters purchase requisitions, files purchase orders and maintains payment information
• Develops Request for Proposals and bids for a variety of goods and services and evaluates proposals
• Orders food products, bookstore merchandise, office, facility and event supplies
• Updates product information on church website
• Manages event ticket sales, registration fees and requested resources in CCB
• Handles credit card reconciliations and ministry chargebacks
• Tags new assets and maintains asset and inventory management system
• Conducts cycle counting and year-end inventory
• Receives and processes wedding and facility rental fees
• Makes travel arrangements and assists with travel reimbursements
• Serves as backup receptionist as needed
• Performs a variety of other administrative duties, as assigned

EDUCATION/EXPERIENCE:

• BA/BS from an accredited college, or suitable equivalent. An equivalent combination of training and experience may be used to meet the minimum qualifications of the classification.
• 3-4 years’ work experience in a marketing or purchasing support capacity
• Minimum of 2 years of purchasing/procurement experience

KNOWLEDGE, SKILLS, OR ABILITIES:

• Knowledge and efficiency of operations, and the ability to follow up and track details
• Demonstrated skill in assessing and prioritizing multiple tasks, projects and demands.
• Demonstrated ability to document and analyze all product-related activities in various databases
• Demonstrated ability to communicate to all levels of personnel.
• Demonstrated ability to pay attention to detail and accuracy
• Demonstrated ability to establish and maintain an effective follow-up system to ensure timely and accurate handling of information requests.
• Ability to multi-task and work effectively in a fast-paced environment
• Advanced computer literacy and accurate typing skills
• Mid to advanced level proficiency in Microsoft Office Suite
• Exceptional verbal and written communication skills

PHYSICAL DEMANDS AND WORKING ENVIRONMENT:

• Sitting for extended periods, occasional standing, walking, bending, and lifting up to 15 lbs.

Job Type: Full-time

Pay: From $34,100.00 per year
