Job Summary:
The Operations Coordinator is a hybrid position and vital role to the flow of information and goods across a food manufacturing enterprise. The role engages with customers for order processing, and resolution for order maintenance, while also converting all received orders to a production planning model, invoicing for payment, and support of the supply chain to meet customer delivery requirements that best utilize the company’s production capacity. This position is fast paced, requires quick decision making and the ability to adapt to new challenges each day.
Responsibilities & Duties:
Primary duties include but are not limited to:
- Interacts daily with customers regarding orders, order modifications, and fulfillment concerns.
- Interfaces with operations supervisors and managers on material status and production issues affecting order fulfillment. Ensures customer is aware if any order is not shipped in full and on time
- Processes incoming purchase orders from customers, confirms delivery dates and coordinates with logistics for outbound delivery appointments to customers.
- Generates the daily production schedule based on customer orders to assist warehouse, production, and logistics planning.
- Creates bill of lading (BOL) for outbound Shipping and reconciles orders, trucks, and deliveries prior to truck departures. Reconciles delivery discrepancies and creates final invoices for billing. Communicates delivery status to customers.
- Creates various reports to support order fulfillment for Production, Warehouse, Shipping, Quality Assurance, Production Control, etc.
- Complete various data logs integral to maintaining supply chain performance indicators.
- Participate in special projects and initiatives and provide general support.
- 40 hours a week to include shift work within the hours of 7am-10pm which include Saturdays and holidays.
Skills:
- Demonstrated proficiency in Microsoft Office applications, particularly Excel and Outlook
- Strong organizational skills, ability to multi-task and ability to exercise independent judgment
- Experience and understanding of supply chain software similar to SAP, or ability to learn independent ERP system management.
Education and Experience:
- BS or BA preferred
- Experience in lieu of education is acceptable
- Military logistics experience preferred
