- Provide high-level administrative support to equity sales team covering institutional hedge funds
- Assist in account management for and distribution of resources to large institutional equity clients
- Client interaction with high-level executives; act as liaison with clients and their assistants
- Maintain team members’ calendars, schedule all meetings and conference calls, field e-mails and phone calls, handle meeting conflicts
- Prepare and submit expenses via SAP Concur
- Coordinate domestic and international travel, including airfare, hotel arrangements, and car service
- Coordinate internal and external meetings and conference calls
- Meet and greet visitors and clients
- Work remotely (at times) while attending to high profile projects and events
- Work remotely with team members when they are traveling
- Coordinate print and production of documents and materials
- Experience using Microsoft Excel (proficient, advanced knowledge not required but helpful)
- Experience using SAP Concur preferred
- Experience working in a high-pressure trading floor environment preferred
- Highly motivated and proactive self-starter
- Excellent verbal and written communication skills
- Superior time management, organization, and adaptability skills with a strong attention to detail
- Quick learner with the ability to multi-task
- Ability to deal with confidential information with a high level of discretion
- Bachelor’s Degree
- 3+ years of administrative experience preferred
- Strong computer skills with proficient knowledge of MS Outlook, Word, Excel and PowerPoint
