The Venue Sales Administrator is aligned with the Sales Team and LMG Administrative Services to support the show production process and procedure in the Venue. They perform the required tasks to support the building, scheduling, accounting, reporting and document management for quoting opportunities with an emphasis on accuracy, efficiency and profitability. They ensure the highest level of service standards while working in a high-pressure environment and meeting tight deadlines.
Typical duties can include, but are not limited to:
- Work with Sales Team to coordinate sales process and information accuracy across company systems and platforms (UB/R2/Sharepoint/SalesForce).
- Ensure the Sales team is following timely due diligence in Sales process and procedure coordinate the construction of shells, amend and update quotes and input additions, update stages, circulate quotes, and confirm or kill opportunities.
- Coordinate the receipt of signed quotes, tax exemption certificates and related documents from the external client and properly file for every confirmed opportunity.
- Confirm that the quoted equipment and labor is current and correct in UB and R2.
- Review technician expense reports and labor invoicing for each show and approve or reject as needed to finalize billing.
- Ensure accuracy and timeliness of advanced estimates in UB, deposits, invoicing, and final billing in UB/R2.
- Post appropriate schedules and documents on the Show Portal to communicate show information to onsite crew.
- Review and act on Open Quote Reports. Communicate updates.
- Coordinate with Sales Team to provide & communicate accurate labor needs and schedules
- Coordinate with Sales Team and Logistics on add order, TPL’s and equipment substitutions.

To be a successful Venue Sales Administrator, you should have the following:
- High School Diploma or equivalent.
- Administrative experience.
- Experience in project coordination preferred.
- Detail Oriented
- Strong written and verbal communication skills
- Work well under pressure and tight deadlines
Base Salary Range: $20.00/hr - $30.00/hr This represents the low and high end of the company's base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to experience.
