Our company is seeking an administrative professional to support their sales and finance teams. The right candidate will be well versed in managing order entry, job creation and financial set-up of new work and change orders. While working on new business there will be additional office management responsibilities with a focus on positive customer experience and marketing. This position has diverse responsibilities and will continue to grow.

Essential Duties and Responsibilities

• Manage executive calendar, requiring interaction with internal and external executives and assistants to schedule a variety of business meetings
• Handle incoming and outgoing phone and electronic communications on behalf of executive management and route incoming calls to appropriate party quickly and efficiently
• Assist with special events planning
• Manage work orders, packing slips and participate in inventory control
• Coordinate new contracts for new business, processing all documentation required
• Dealing with and applying for certificates of insurance, licenses and other job bid requirements
• Work in Sage accounting software performing basic AP and AR functions, as well as data entry
• Work in payroll to manage timecard entry and compliance
• Marketing and social media
• Maintain highest level of confidentiality

• BA/BS in Sales, Marketing, Business, Accounting, Communications or similar field, or equivalent combination of experience and education required.
• Experience in accounting and accounting systems
• Experience in Inside sales or as a sales admin
• Experience with timekeeping systems (Paylocity preferred)
• Experience with job costing
• Experience working within the construction industry a plus
