Full description of the position

At Ventana Canyon, nestled in Tucsons Santa Catalina foothills, the sun rises across our pristine 600-acre desert preserve with its flowering landscape, rolling hills, winding riverbeds, craggy canyons, and pine-topped peaks. The Ventana Canyon Golf & Racquet Club is a beautiful and secluded member-owned country club with 36 holes of championship golf and 50 guest suites, rated as one of Americas top golf resorts.


Ventana Canyon Golf & Racquet Club is seeking an experienced Administrative Assistant that will provide a wide range of support for the Marketing, Sales, and Membership Team. This role provides a great opportunity to learn about all aspects of catering, events, group sales, membership and marketing in the hospitality industry.

Essential Functions:

  • Communicate in a sophisticated and professional manner with clients, members, and staff. Display excellent customer relations skills able to greet members and guests in a friendly manner.
  • Respond to inquiries- inbound phone, written, advertising inquiries, catering inquiries and group inquiries.
  • Compile, store, retrieve, and maintain management data in an organized and accurate filing system pertinent to Sales / Marketing /Membership.
  • Help prepare/distribute Catering resumes and BEOs, Golf Group Contracts and Resumes, welcome cards, and amenities for VIPs, plus any VIP arrangements for on-property site visits.
  • Ensure all incoming and outgoing correspondence is received, mailed, and filed as required.
  • Research, analyze and report on competitors in golf and lodging.
  • Coordinate and prepare the Sales and Marketing calendar and monthly Sales and Marketing reporting.
  • Process paper and mail flow in and out of the Sales/Marketing/Catering office.
  • Maintain positive working relationship with others, support team to reach goals. Listen and respond appropriately to others.
  • Maintain confidentiality of proprietary information and protect company assets.
  • Assist Department meeting arrangements, accounting/billing needs, maintain inventory of office or copier supplies, as needed.
  • Provide additional administrative assistance as directed.
  • All other duties as needed and or assigned.


  • Previous experience in hospitality, golf, marketing, sales and/or food and beverage industry preferred.
  • Social media knowledge and WordPress website publishing knowledge preferred.
  • May be required to: read and interpret documents such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; to apply concepts of basic algebra and geometry.
  • May be called upon to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; to deal with problems involving several concrete variables in standardized situations.


EDUCATION and/or EXPERIENCE:


  • Ivvy, Delphi, or similar sales platform; Jonas Club and Revinate CRM experience preferred but not required. Canva experience also helpful
  • High School Diploma or equivalent required.
  • 2-3 years previous experience in hospitality, golf, marketing, sales and/or food and beverage industry preferred
  • Communicate with others using clear and professional language.
  • Reading Comprehension understand written sentences and paragraphs in work-related documents and able to proof documents. Excellent grammar skills.
  • Active Listening Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Multi-tasker able to work with multiple projects simultaneously in a fast-paced environment
  • High level of attention to detail and accuracy
  • Strong working knowledge of Microsoft Outlook, Word, Excel, PowerPoint applications necessary.


LANGUAGE SKILLS:

Must possess excellent verbal and written communications skills.

REASONING ABILITY:

Ability to think through situations for best desired result, problem solving skills and strategic thinking.


PHYSICAL DEMANDS:

The associate must occasionally lift and/or move up to 25 pounds.
