Inside Sales Representative

JOB SUMMARY: The Inside Sales Representative is the principal customer point of contact for all orders and administration of the customer. The ISR performs a variety of simple to complex Sales order entry and order administration thru order fulfillment. The role requires intermediate knowledge of Sales and Distribution business functions. The ISR manages customer contact via email, and telephone, processing order receipt, order status, product availability, account status and pricing. Assignments involve the understanding of and the application of departmental procedures including workflow activities. The ISR works to align available inventory with the Sales order line items ensuing deliverables are shipped and invoiced as required by NHBB and the customer.
DUTIES & RESPONSIBILITIES: This position reports directly to the Divisional Head of Sales and Customer Compliance.
The ideal candidate processes strong analytical and problem solving skills, this person has a willingness to help others and operates with sovereignty.
Substantial understanding of a Customer support based role and applies knowledge and skills to complete assigned tasks. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations. Normally receives little instruction on daily work, general instructions on newly introduced assignments. Maintains customer contact via email or phone, including correspondence concerning sales order status, order changes and billing/receivables questions.
Processes strong analytical ability required for preparing customer solicitations for RFP/RFQ's, Order Management and scheduling requirements.Under direct supervision, may negotiate pricing/fees, for product.
Under moderate supervision, create/edit sales orders accurately and efficiently in MRP system; create and send order acknowledgements to customer as required. Generates and distributes Purchase Order summaries when required.
Coordinates pricing request through cross-functional teams, responsibilities include processing technical data package transmittals, order entry, material return authorizations, inventory allocations, change order processing, and delivery follow-up; working collectively with Field Sales representatives to deliver essential information to customers.
Provide support to introduce relevant and essential information to new and existing customers as necessary, maintaining a high level of responsiveness and professionalism.
Technical knowledge of programs, Quality procedures and Manufacturing processes preferred.
Requires intermediate knowledge and understanding of Microsoft Office products and experience managing customer portals.
Knowledge of Exports compliance and managing EAR and ITAR data, processing such according to Company's Export Compliance corporate policy. Ensuring export policies and procedures compliance including license applications, proper export classification on the sales order and customer denied parties screening.
The candidate processes a Continuous Improvement mindset to assist in the improvement of department and/or organization, coordinate these ideas with team members.
Under moderate supervision, work with Production Planning, Operations and Shipping to create and facilitate deliveries ensuring customer requirements are met.
May create and maintain special tracking and customer reports.
SKILLS REQUIRED:
HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience OR In the absence of a HS diploma, GED or AA/AS degree, 6 years of relevant experience is required.
AS400 MRP system knowledge
Strong Microsoft Office skills required
Lotus Notes experience preferred
Ability to use web based programs to access customer data
Experience in a business to business manufacturing company is advantageous.
Strong Organizational and communication skills, both orally and in writing
Other Requirements:
