Job Purpose

The Food Donor Account Representative reports to and collaborates with the Procurement Manager to source donated food and supplies according to Three Square’s Sourcing Strategy. This position is responsible for tasks and relationships necessary to source all donated items brought into Three Square, food and non-food. The positions primary responsibility will be to develop and maintain donor relationships to ensure long term donor retention. The Representative will be responsible maintain a database of donors and tracking system of incoming product. This role may require occasional work outside of normal working hours such as evenings and weekends.

Essential Job Functions

  • Secure as much fresh produce, food and other donations as possible for Three Square agency partners and clients in Nevada while ensuring food safety requirements are being met and donor relationships are protected.
  • Source and secure new and existing modes of transportation for sourced food at the lowest possible cost.
  • Call upon food manufacturers, produce growers, distributors, wholesalers, and retailers to source food according to the best use of Three Square’s resources and Sourcing Strategy.
  • Communicate and manage relationships with Choice, Feeding America, state associations and other donation opportunities according to Three Square’s Sourcing Strategy.
  • Conduct face-to-face visits, meetings, and presentations (including donor facility and food bank tours) with current, lapsed, and prospective donors to secure donated product and maintain partnership and relationship. Visits may be in conjunction with an agency partner or scheduled independently.
  • Collaborate with leadership, department heads, network representatives and others to identify and prioritize food and product donations.
  • Connect with Three Square staff, partner food bank staff, and network partners to enhance relations with donors, transporters and suppliers. Identify and refer opportunities to appropriate staff, for obtaining financial, equipment, volunteer and in-kind support in addition to food.
  • Work with existing agency partner relationships to source and procure necessary food and supplies for existing programs.
  • Provide professional, responsive and appreciative customer service to all agency partners, donors, and co-workers.
  • Create marketing and communication materials to present state/regional statistics, along with local statistics for agency partners.
  • Track and report foods sourced and transportation arranged according to yearly budget requirements and guidelines.
  • Build relationships with Nevada food industry and related industry organizations.
  • Provide training for member food resource staff upon request.
  • Work with drivers and warehouse staff to ensure the product is ready for pick up and follow donation guidelines.
  • Responsible for Food Drive planning, monitoring, and execution including donor recognition and project planning.
  • May attend food industry events including tradeshows, association meetings and network conferences.
  • Research potential new food sources; creates, maintains and shares a tracking system of potential suppliers while developing sourcing strategies to meet the distribution demand.
  • Creates item cards for donated product.
  • Provides reports to Feeding America
  • Manage confidential information.
  • Regular and consistent attendance.
  • A strong focus on housekeeping, documentation, sanitation & food safety processes must be upheld & is essential for the success of Three Square with various inspections by AIB, USDA, SNHD & Feeding America.

Abilities

Must possess the ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals; ability to write routine reports; ability to apply good sense understanding to carry out instructions furnished in written, oral or diagram form; ability to solve practical problems and deal with situations involving several concrete variables in standardized situations and where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule formability to perform the day-to-day tasks necessary to receive inventory into the warehouse. This includes daily receiving of all donated product.

Ability to effectively apply creative problem-solving skills; ability to effectively practice conflict resolution; ability to relate to people in an open, friendly, accepting manner; showing sincere interest in others and their concerns; ability to effectively organize and prioritize tasks; ability to communicate effectively, orally and in writing; capable of working under pressure, managing numerous activities simultaneously and meeting deadlines consistently; ability to work independently with a minimum of supervision and take initiative in problem-solving; ability to interact with a wide variety of people; ability to make presentations and develop reports that may include technical information.

Work is typically performed inside of a vehicle, out on the road; will drive personal vehicle regularly as much as 60% of the time for work performed in the community; will visit potential new and old donors; may work outside of normal working hours, such as evenings and weekends and occasional travel out of town.

This position may work in a typical office setting. There may be extended periods of sitting, standing and/or bending; listening, talking and/or visual concentration; writing and/or computer use. While performing the duties of this job, the employee is required to stand, walk, sit, and use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; stoop, kneel, crouch; talk, hear and smell.

Work may be performed in a warehouse setting with a significant amount of walking on concrete surfaces. Entrances may be open and work conditions during the summer months can be very hot, and during the winter very cold. Employee may be going in and out of freezers and coolers with extreme variations in temperature. Workspace could be very dusty, and on occasions can be noisy due to the traffic of motorized vehicles operated in the building. Periodically may work outside and be exposed to the elements. Employee may be exposed to spoiled food and sharp objects due to working with damaged product. Work involves moving boxes and employee must lift, bend, stoop, pick up and move objects up to 50 pounds. Work involves using manual pallet jacks and therefore requires an ability to push and pull pallets over 2,000 pounds. Requires standing, repetitive movement, bending or twisting, using hands to handle, control, or feel objects, tools, or controls. Requires walking and running, contact with others (face-to-face, by telephone or otherwise), repeating the same physical activities or mental activities over and over. Job tasks may be performed in close proximity to other people.

Working Environment

Requires working indoors in environmentally controlled conditions or outdoors in the elements. Job tasks are performed in close physical proximity to other people; must travel to multiple sites and locations.

Qualifications

Experience and Education

High school diploma or GED with three to five years of experience with food, retail and sales; preferred experience in the food/grocery or culinary/hospitality industries or equivalent job related experience; skills in operation and maintenance of warehouse equipment including pallet jacks, electric pallet jacks, forklifts, coolers, freezers, electronic scales, etc; forklift certification and Material Handling Equipment knowledge of Safe Food Handling Procedures.
