The Move Coordinator/CSS/Sales Specialist is the primary point of contact for moving inquiries and customers throughout the entire moving process. The Move Coordinator/CSS/Sales Specialist is in regular contact with the customer before, during, and after the move to ensure excellent service and a great move experience.

Move Coordinator/CSS/Sales Specialist are very detail oriented, self-driven, team-oriented, and organized. The Move Coordinator/CSS/Sales Specialist is integral to exceeding our customer’s expectations of our services and ensures professional, effective communication between us and the customer. The Move Coordinator follows the process and the customers experience from beginning to end.

Overview of Job: A successful Move Coordinator/CSS/Sales Specialist is an energetic, people-oriented professional who is responsible for selling moving services to residential and commercial customers. Moving services include local, international, intra- and interstate residential moves, office & industrial moves, product shipments, employee relocations, and other services. The Move Coordinator/CSS/Sales Specialist is focused on building & maintaining relationships to maximize the opportunity for services provided for each customer. Further, the Move Coordinator/CSS/Sales Specialist must maintain a constant presence with the assigned customer base to increase the visibility of the company and increase the opportunities of being considered for moving services.

Success is measured by increased positive customer reviews, customer referrals through flawless support of both Business Development and Operations, and successfully booked & completed moves.

Essential Functions:

· Initial and immediate customer contact, via telephone, email, google, system generated inquiries, etc.

· Introduction with the customer upon booking of job estimate.

· Repeated contact with the customer 2 weeks, 1 week, and 2 days prior to the on-site moving services

· Maintaining prospective customer files in CRM platform to include all demographics of move, customer communications, inventory of items, etc.

· Conduct follow-up communications, as per our SOP protocol.

· Maintaining “booked” jobs and develop accurate and detailed timeline for customer communication.

· Move Coordinator owns the moves that they sell/set up, including the customers experience, the accuracy of quotes and scope of the move, the details of the move, providing accurate information to the movers and accurate expectations to the customer.

· They will gather additional information that is of importance to the customer and transfer this information to the crew’s paperwork.

· Completing all contract documents and file documents for the move and present the file to the Operations Manager (Local / Long Distance Dispatch). This position also facilitates transmitting information to satellite offices.

· Entering the packing, moving, storage, and delivery dates on the electronic calendar.

· Documenting all changes as they occur to both the contract documents as well as the electronic calendar.

· Communicating daily with the Operations Manager (Local/Long distance dispatch) as the move is booked and pack/move/storage day approaches to ensure proper decisions are made for trucks, trailers and crew.

· Process customer payment when crew leader/team member calls.

· After the move, if there is no damage, the Move Coordinator/CSS/Sales Specialists’ job is complete. If there is damage, the Move Coordinator/CSS/Sales Specialist introduces the shipper to the Claims Specialist for processing of the claim.

· The Move Coordinator/CSS/Sales Specialist position will also answer phones, assist walk in clients, participate in the rotation to cover Saturday office hours, assist where needed, and other duties as assigned.

· Position may require community outreach & involvement, as assigned.

· Regular, on-time, and predictable attendance. Reliability is an essential function of the job.

Minimum Qualifications:

  • 3 Years - Experience in a sales position required.
  • Experience in transportation or logistics field or similar high pressured customer service environment is preferred

Move Coordinator/Customer Service/Sales Specialist reports to: Marketing & Sales Manager

Hours: M-F 8:00am to 5:00pm; occasional Saturdays from 8am-12pm, plus extended hours may be required
