Overview

This position is responsible for the organized and effective running of the office for both the administration and

assist with the human resource functions of Midtown Signs. The Office Manager will communicate with internal

and external clients in a manner that will foster the growth and organizational goals of Midtown Signs.

Essential Functions &Responsibilities

  • Provide administrative support to the CEO and Management team
  • Financial administration, including accounts receivable and payable
  • Assist CEO with the organization’s financial administration and oversees bookkeeping
  • Monthly reconciliation and reporting for accounting, outlining invoices that have been paid
  • Process payroll and maintain employee records
  • Complete time tracking
  • Assist with the preparation and maintenance of Human Resources activities and tasks to support employees and management
  • Responsible for the permitting process for all projects and sign installations
  • Research permitting requirements based on local ordinances, and file timely and accurate documents including payments
  • Supports the customer service function by answering telephone calls and emails from customers and clients
  • Assist with customer complaints, as necessary and direct customers to the appropriate department or relevant staff
  • Assist with coverage of the receptionist position, covering lunches and vacations as needed
  • Support Midtown Signs department employees, as needed
  • Make logistical arrangements for meetings, calls and any other events held by the company
  • Routinely order general office supplies
  • Filing as needed
  • Oversees the administration of insurances, contracts and other similar benefits and administrative needs
  • Coordinates worker’s compensation reporting and documentation.
  • Assist with recruiting, interviews, and aids in the selection of employees to fill vacant positions
  • Make suggestions and discuss potential changes with involved parties to ensure comprehensive coverage and flow for process
  • Analyze work processes to create infrastructure for the organization
  • Updates job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations;
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments;
  • Delegation of duties to appropriate individuals for particular tasks, as well as concise and effective explanations instructing production employees on how to accomplish desired outcomes;
  • Manages and promptly reports any safety incidents and participates in incident investigations as requested;
  • Acts in a stewardship capacity for Midtown Signs, works as a functional member of the team, has the ability to self-direct work assignments;
  • Provides on-call and overtime support as needed during evenings and weekends based on workload demands as designated by management;
  • Duties, responsibilities, and activities may change, be added, or removed as required at any time without notice.

Supervisory Responsibilities

This position does have supervisory responsibilities.

Placement Criteria

  • Minimum education and experience: Associate’s degree in business administration or a related discipline, or high school diploma and 5+ years experience in an office manager or similar role, or a suitable combination of education and relevant experience as described;
  • Demonstrated organization, facilitation, communication and presentation skills specific to customer relations;
  • Demonstrated experience and skill in the accounting field, to include AR and AP
  • Ability to prioritize workflow and organize diverse material and ability to handle multiple, competing and changing priorities; ability to perform effectively without supervision and within established time limits and ongoing deadlines;
  • Ability to interact and communicate effectively and professionally verbally and in writing, and to provide exceptional service internally and externally;
  • Relevant computer skills for this position include knowledge and experience with Microsoft Office applications, basic web applications and graphic design software. Displays adaptability in learning the use of relevant programs and displays comprehension of fundamental computer practices and productivity tools.

Physical Demands

While performing the duties of this position the employee is regularly required to sit and talk and hear. The employee is frequently required to use hands to finger, handle or feel and reach with hands and arms. The employee is regularly required to stand, walk, bend and reach, and may occasionally ride in a motor vehicle. The employee must frequently lift and/or move up to 20 lbs. and occasionally lift and/or move up to 75 lbs.

Base Pay starting at $30,000 + Commission

Job Type: Full-time

Pay: $30,000.00 - $75,000.00 per year
