The Sales Manager will serve as the singular point of contact in coordination of group(s). This position ensures the success of each and every event. They answer any questions not covered in this material, to provide that unique, special menu or decoration, and to go that extra mile to see that each and every detail performed to the client’s specifications. This manager details all meeting arrangements such as rooming lists, meeting room logistics, conference dining program or special catering events, audiovisual and technology needs, outside activities and services, etc. The manager monitors guests and meeting planner satisfaction and constantly strives to maintain a high level of guest’s satisfaction.

Business Results

  • Recognize and practice Sales Service Standards
  • Obtain turnover file from sales person and implement file turnover and planning process
  • Executive planning and coordination in a timely and responsible manner
  • Communicate directly with group Meeting Planner and appropriate departments to coordinate all group activities, both on and off property, ensuring quality product and exceptional service delivery
  • Maintain a working knowledge of guest rooms, meeting logistics, and audiovisual and food and beverage
  • Serve as a creative source to meeting planners when assistance is solicited
  • Coordinate guest room needs and communicate to Reservations Department
  • Ensure accurate billing arrangements
  • Greet the Meeting Planner upon arrival
  • Greet the Meeting Planner each morning prior to event start time throughout their stay
  • As possible, check meeting rooms each day to assure appropriate delivery
  • Check in with client 2-3 times during event
  • Meet with Meeting Planner to review file to ensure proper billing daily(ensure all bills signed off daily)
  • Prior to departure: Customer feedback survey conferees, Meet with Meeting Planner to personally discuss customer feedback, Meeting planner receives good-bye note and gift from Planner
  • Post Conference: Post Con Report prepared, Review billing prior to being sent, Send a personalized thank-you note,
  • Develop and maintain excellent working relationships with all departments
  • Understand the services provided by each department and the responsibilities of key individuals
  • Attend all daily and weekly scheduled meetings as required
  • Follow policies, procedures and standards as detailed in training manual and employee handbook
  • Protect the assets of the property. Report required repairs for front and back of house to the Director
  • Follow through with daily task list as assigned by Manager
  • Observe and practice safe working habits
  • Assume special projects as agreed to with the Manager
  • Carry a pager/cell phone when necessary and/or appropriate-respond to all pages/calls promptly

Guest Satisfaction

  • Ensures a high level of customer satisfaction and builds long terms mutually beneficial customer relationships to support future revenue growth.
  • Coordinates and communicates verbally and in writing with customer (internal and external) regarding event details. Follows up with customer post-event.
  • Makes presence known to customer at all times during this process, regardless of which hotel they sit at. Greets customer during the event phase and hands-off to the Convention Services department for the execution of details. Is available to solve problems and/or suggest alternatives to previous arrangements.
  • Displays leadership in guest hospitality and ensures consistent, high level service throughout all phases of hotel events. Ensures products and services sold to the Event Planners meet or exceed their expectations, create loyalty and leads to increased market share.
  • Sets a positive example for guest relations.
  • Interacts with guests to obtain feedback on product quality and service levels. Effectively responds to and handles guest problems and complaints.
  • Reviews Guest Service Results with leaders. Participates in the development and implementation of corrective action plans.
  • Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.
  • Utilizes Delphi or other hotel system to capture and manage customer information on a daily basis.

Experience

  • (2) Year minimum hotel, Sales experience, OR
  • (2) Year minimum direct planning experience or hotel supervisory/management position experience and
  • (2) Year guest contract experience and
  • (2) Year college degree or equivalent guest service experience

  • Knowledge of Microsoft Office (Word and Excel) and Windows
  • Any supervisory/management position
  • Previous knowledge of Delphi Sales/ Conference services hotel system
  • Basic Food and Beverage and/or catering knowledge
  • Good typing skills
  • Previous hotel experience
  • Knowledge of Banquet Room set ups
