We are seeking a full-time Admin to support our Sales and HR departments in achieving their goals and in building something great at Calyan. The successful candidate will have strong organizational skills, pay attention to details, be teachable, enjoys executing processes and checklists consistently, and can maintain the ability to work independently while asking questions when needed.

Sales Admin Duties:

• Input previous month’s sales data into scorecards and sales goal sheet accurately and in a timely manner.
• Run reports for KPI tracking sheet with accurate data.
• Fill out new vendor forms and ensure all required information is collected and organized.
• Set up Calyan company info and products on vendor platforms to ensure our products are displayed correctly and all information is complete and accurate.
• Maintain a record of vendor sales tax certificates.
• Upload promos on vendor platforms as needed.
• Upload promos on online marketplaces and internal systems.
• Send photos to new vendor studios and ensure they have all the necessary information to display our products.
• Run account list and void list reports and provide accurate information to the sales team.
• Vet new leads by following the appropriate lead qualification process.
• Run inventory reports for sales team as needed.
• Assist with bulk data update projects, ensuring all information is entered accurately.
• Assist with misc. special projects and other administrative tasks as needed.
• Assist in travel planning for events and trade shows as needed.

HR Admin Duties

• Creating job postings.
• Managing incoming applications and setting up interviews.
• Onboarding/off-boarding employees.
• Ensuring Employee Handbook is up-to-date and any changes are communicated across the company.
• Being available for any HR complaints or employee corrective measures (documenting per HR protocol).
• Managing company 401K plan.
• Managing company health insurance plan.
• Managing HR SOPs.

Ideal (but not required) Education

Bachelor's or Associate's degree in HR, administration, finance fields.

Hours

40 hours/week at Calyan offices. Between 7 AM – 5 PM Monday-Friday with flexibility based on your availability.

Pay: $39,751.00 - $45,256.00 per year
