Job Summary
This position will assist the Sales Manager in the handling of accounts and other administrative tasks.
Responsibilities include, but are not limited to:
Answering and directing phone calls, working directly with clients and event managers, maintaining accurate records and reports, distributing timely information to operating departments, preparing proposals, confirmations, thank-you letters, and function sheets, professionally handle correspondence from assigned managers, complete other duties as assigned by the Sales Manager that contribute to the day to day success of the Convention center, Rupp Arena, and Lexington Opera House.
Requirements include, but are not limited to:
Prior experience in a similar administrative role, excellent verbal and written communication skills, must be organized and able to multi-task with high attention to details, must have hospitality-focused qualities, a professional appearance and a courteous demeanor, must be able to demonstrate expert knowledge of Microsoft Word/Excel/Outlook.
For this position some evening and weekend work may be required.
Catering software and previous food & beverage experience is a definite plus, but not required.
Summary: Responsible for clerical functions and administrative support of food service programs.
Essential Duties and Responsibilities:
- Answer telephones and direct inquires in a professional and client centric manner.
- Maintain confidential personnel files.
- Assist management staff in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
- Work effectively and maintain good working relationships with co-workers, and Supervisor.
- Assist in preparation of end of month financial reports.
- Attend in-service and/or safety meetings as required.
- Maintain clean and safe work environment; ability to perform job safely.
- Performs other duties as assigned.
