STATUS: Full-time, Non-Exempt $20 per hour

REPORTS TO: Director of Events

ABOUT THE MUSEUM OF LATIN AMERICAN ART

The Museum of Latin American Art (MOLAA) in Long Beach, California is the only museum in the western United States that exclusively features contemporary Latin American and Latino art.

MISSION

The Museum of Latin American Art expands knowledge and appreciation of modern and contemporary Latin American and Latino art through its collection, ground-breaking exhibitions, stimulating educational programs and engaging cultural events.

POSITION DESCRIPTION

The Sales Coordinator position will report to the Director of Events and work closely with the Events team to support the department in the development and production of special events, banquets as well as rental events and commercial filming projects. This administrative role will be responsible for contacting inquiries that are submitted either through email, phone or walk in, proposals, invoicing, and coordination of events – including schematic(s) of event plan. Evening and weekends will be a requirement of the position. This role will also be required to facilitate and coordinate the special events to be held on MOLAA grounds. This position will communicate with suppliers of MOLAA, and 3rd party contractors.

ESSENTIAL FUNCTIONS:

  • Coordinating and formulating ideas for Special Events to be held at MOLAA year-round.
  • Manages incoming phone and e-mail inquiries, schedules meetings and develops and distributes appropriate materials (agendas, etc); completes other administrative duties, as assigned.
  • Completes financial reporting and tracking duties, including but not limited to, serving as a liaison between the Department and Finance, maintaining financial records and files, and updating P&Ls.
  • Contact clients for invoicing.
  • Represents the property at various meetings and events.
  • Coordinates logistics of day-of-event production (load-in, strike, etc)
  • Arranges and coordinates security and/or special needs for events.
  • Assists with corporate partnership and sponsorship development/fulfillment.
  • Research and source new event opportunities.
  • Maintains community relations and outreach.
  • Other duties as assigned by Management.
  • Offers Team Coordination and Support.

MINIMUM QUALIFICATIONS:

  • High School Diploma with at least 1 year of experience in a similar role is required.
  • Exceptional written and verbal communication skills
  • Organizational capabilities to support multiple projects and managers simultaneously.
  • Ability to problem solve and work independently in a changing and multi-tasking environment with numerous deadlines.
  • Excellent organizational, planning and project management skills.
  • Ability to develop professional relationships in all aspects of the position that result in stable, consistent, reliable, and courteous communication.
  • Demonstrated ability for accuracy and thoroughness.
  • High levels and respect for other company functions and the ability to work well with them as a team.
  • Ability to work occasional nights, weekends and holidays.
  • Strong computer skills, especially Microsoft Office (Word, Outlook, Excel)

ADDITIONAL REQUIREMENTS AND PHYSICAL DEMANDS:

  • Stand and walk around for extended periods of time, especially during events.
  • Ability to sit in front of computer monitor for extended periods as necessary.
  • Ability to lift up to 25 lbs.
  • Must have a valid California Driver’s License, automobile insurance and access to a vehicle.
  • This position requires heavy communication through the usage of telephone and email. Verbal and listening skills are required.
