SCOPE

The Sales & Marketing Manager is responsible for generating top line revenue and the management of all marketing efforts. In certain hotels, the Sales & Marketing Manager may be responsible for banquet and catering sales results.

POSITION STANDARDS AND ESSENTIAL DUTIES

Guest Service

Projects a professional image of the hotel (dress, appearance, etc.).

Has a friendly, personable style with guests. Anticipates customer's needs before they ask.

Responds promptly and follows through on guest requests and complaints in effective and friendly manner. Meets or exceeds department guest service feedback/complaints goals.

Recognizes and rewards effective guest service in Sales staff.

Maintains good relations with guest “feeders” such as travel agencies, airlines, etc.

Reviews guest comment cards and complaint letters at weekly sales staff meeting as appropriate.

Manages guest service problems with minimum assistance from GM. Informs GM of serious guest problems.

Maintains professionalism with regard to written correspondence and telephone etiquette for self and sales department.

Conduct site inspections.

Is knowledgeable of and performs well on all company shopping and telemonitoring programs.

Participates in hotel’s Manager On Duty program, if required.

2.0 Technical Knowledge

Conducts direct selling activities in accordance with assigned sales activity and room night production goals.

Knowledgeable of and practices effective telemarketing.

Skilled in making sales calls. Can properly qualify a prospect, determine demand potential, present features/benefits that match prospect needs, and gain “next step” commitment or “closing”.

Knowledgeable of all hotel brand marketing programs.

Knowledgeable of local area including special attractions, competing hotel facilities, restaurants, etc.

Knowledgeable of hotel facilities including guest room and function room size and occupancy limits, sound and light systems, air conditioning, media facilities, power, etc. Effectively communicates hotel products to guests.

Knowledgeable of hotel food and beverage facilities including catering menus, pricing, set-ups, food costs, equipment, etc.

Knowledgeable of reservations procedures, including group blocking, Central Reservation System and property management system, etc. Can check a guest in or out of the hotel.

Knowledgeable of billing and credit policies and procedures.

Understands and effectively analyzes/oversees group booking pace to maximize yield.

Conducts department audits and insures compliance with the company's departmental operations standards.

Cultivates lead sources for own hotel as well as for other Dimension hotels.

3.0 Sales Operations

Insures Group Rooms Control Log is current and effectively utilized; insures the Function Book is current and space is effectively utilized.

Directly solicits business. Effectively handles solicitations. Skillfully manages relationships with hotel's top accounts.

Insures sales contracts meet hotel standards.

Maintains accurate sales files, production reports and trace system.

Insures sales files are effectively worked and maintained to company standards. Insures sales calls are documented in files, and files are secured at the end of each business day.

Knowledgeable and follow through on all policies including Trademark usage, comp rooms, meal guarantees, public space policy, room rates, sales presentation procedures, etc.

Attends and contributes to hotel's revenue management meetings.

Insures sales staff maintains current information regarding hotel services, marketing programs, etc.

Attends trade shows and central reservation offices to make presentations, as needed.

Meets sales goals; develops and implements monthly sales action plans; insures that the sales department team members achieve their sales activity and room night production goals.

Monitors sales staff productivity.

Insures that appropriate inventory levels of collateral materials and promotional supplies are maintained through effective monitoring and ordering.

Maintains and accurately updates a sales production wall chart.

4.0 Marketing/Business Planning

Establishes department objectives with GM. Monitors progress against hotel and department objectives throughout the year by review in gall relevant daily reports.

Monitors travel agent commission reports, feeder market analyses, and al other relevant source of business reports.

Completes all weekly and month end reports accurately and on time.

Effectively conducts market research, market segment tracking and competition analyses. Monitors market penetration and assess hotel position in marketplace. Understands and can draw accurate conclusions from Smith Travel Research reports.

Develops and implements effective advertising and promotions programs utilizing effective monthly action plans.

Establishes annual rooms revenue budget, sales & marketing budget and marketing plan with GM accurately and in a timely manner.

Understands and helps determine hotel pricing and rate improvement strategies.

Is knowledgeable in evaluating incremental profit potential of rate-sensitive group business or contracts through revenue displacement analysis. Can calculate break-even points.

5.0 Community Relations

Maintains active involvement in community and industry organizations.

Maintains communication with competitive hotels, Convention and Visitor Bureau and Chamber of Commerce.

Participates in community activities, employee activities and guest events.

Insures opportunities are made available to the General Manager to participate in joint sales calls.

6.0 Human Resource Management

Manages sales department and assumes direct responsibility for human resources, including progressive discipline activities, personnel documentation and files, sourcing, recruiting, training, selection, counseling and motivation.

Completes employee performance reviews on time.

Insures all key employees are on personal career development plans to consistently develop talent.

Discusses and assists with departmental objectives. Insures sales staff knows hotel goals.

Conducts and documents weekly sales department meetings.

Treats employees fairly, consistently and with respect. Sets a positive example for all subordinates. Recognizes and rewards excellent performance. Maintains a positive work environment. Encourages and facilitates teamwork.

Insures the sales department is in full compliance with all Federal, State and Local laws pertaining to Human Resources, Employment, Wages & Hour, Occupational Health & Safety (OSHA), American Disabilities Act (ADA) and Hazards Communication (MSDS) and any additional laws as may be applicable.

Insures all employees are fully trained in emergency procedures.

Complies with key control procedures.

Continually supports and promotes Dimension's history, culture, work and environment.

Delegates projects and duties appropriately.

Manages upward effectively.

Training

Schedules and insures all employees participate in relevant orientation programs, service skills training, telemarketing courses, etc.

Conducts training programs ineffective and engaging manner.

Takes responsibility for own training and career development.

Insures active representation of the department on the hotel's safety committee.

Inter-Departmental Relations

Coordinates and maintains effective relations with other departments in hotel to promote excellent guest service and to promote programs.

Is aware of all departments' roles and responsibilities. Coordinates with other departments on joint tasks as they relate to sales, particularly catering and front office departments.

Assists in cross training between departments.

Attends and participates in weekly staff meeting, insuring all other department heads are aware of hotel sales efforts, promotions and group activity.

Qualifications Requirements

Education and/or Experience

A minimum of a high school diploma or general education degree (GED) plus two years related hotel experience. Some experience with hotel computer systems and spreadsheet programs useful.

Must be able to write simple and complex documents, reports, and correspondence. Must be able to speak effectively with clear speech to individuals and groups. Multilingual skills helpful but not required.
