Responsibilities: This role is the primary contact for the confirmations of the Fuqua School of Business group bookings and act as our Delphi Administrator. This role will also provide backup and assistance for the Sales Managers, including typing, filing, distribution of information, computer support and client support.

Duties:
1. Report to work dressed in proper attire and on time following proper clock in/out procedure as outlined in the employee handbook.
2. Present a crisp and polished professional image at all times in keeping with hotel standards.
3. Responsible for the ongoing engagement and successful confirmation of Fuqua School of Business groups, which includes, but is not limited to booking, contracting, speaking with clients, and connecting with already scheduled Fuqua events and room reserves to confirm at the hotels.
4. Delphi Administration to include, user management, document templates, backend entry, ad hoc reporting, ability to add and create new, daily reports.
5. Support the Area Director of Catering and Conference Services with tasks that include but are not limited to month end reporting and catering forecasting.
6. To properly maintain files and accounts. To attend all meetings assigned to the individual.
7. To set up working relationships with other areas of the hotel’s operations such as Front Office, Reservations, Accounting, Catering and Conference Services, and Sales.
8. Working knowledge of the product and familiarity with all sales office functions.
9. Working Knowledge of the function of all the other hotel departments and development of interdepartmental relationships with other departments.
10. Compose as requested and prepare Sales and other delegated correspondence accurately and quickly. Proofread all other correspondence to be ready for signature or release.
11. Answers, screens and qualifies all incoming phone calls for the Sales Department with excellent telephone and people skills.
12. Prioritize the workload daily. Be able to work within and meet deadlines.
13. Create and distribute contracts and proposals as needed.
14. Familiarity and superior skill with specific software programs to include, but not limited to, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Delphi.
15. Coordinate, distribute, and assist with the writing of reports, including, but not limited to month end, monthly, and quarterly owners’ reports and budgets.
16. Support and adhere to all hotel policies and procedures.
17. Handle additional duties and responsibilities as required to assist the total Marketing Division effort.

NOTE: This hotel operates seven days a week, twenty four hours a day. I am aware that at times it will be necessary to move me from my accustomed shift if business demands. I also understand that business determines the amount of hours I work. Management retains the discretion to add or change the duties of this position at any time.

To do this kind of work, you must be able to: Type 60-65wpm, error free. Computer experience required utilizing Microsoft Word and Excel. Knowledge of Windows 95 operating system is required. Ability to compose letters, work under pressure, meet deadlines, and maintain professional communication with clients as well as co-workers.

Physical Demands: Lift 15 pounds maximum with frequent bending, lifting and/or carrying of objects weighing up to 5 pounds. Required walking or standing to a significant degree.

Math Skills: Requires mathematical development sufficient to be able to: Apply fractions, percentages, ration and proportion.

Language Skills: Must have developed English language skills to the point to be able to:
Communicate effectively (both written and orally) with other employees, guests or vendors as needed.

Relationships to Data, People and Things:

Data: Coordination: Determination of time, place and sequence of operations or actions to be taken on the basis of analysis of data, as well as executing determination and/or reporting on events.
People: Determining or interpreting work procedures while maintaining harmonious relations and promoting efficiency. A variety of responsibilities are involved in this function.
Things: Handling: Using body members, hand tools, and/or special devices to work, move or carry objects or materials. Involves little or no latitude for judgment with regard to attainment of standards or in selecting appropriate tool, object or material.

Specific Vocational Preparation: An occupationally significant combination of: vocational education, apprentice training, on the job training, or essential experience in less responsible jobs which lead to the higher job or serving in other jobs.

To do this job you must have the following licenses or certifications before being hired: High School Diploma or equivalent required. Two year college degree or equivalent guest service experience.

To do this job you must have the following amount of total education and/or experience:
Minimum 2-4 years experience in Catering Sales/Service, Banquet Service Management & or culinary training/production in a mid-sized deluxe property.
