JOB DESCRIPTION


Working under direct supervision, assists the training team by providing various forms of administrative support to ensure that tasks, projects, and trainings are completed and delivered.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES Performs assorted administrative tasks to support training staff including but not limited to preparing, formatting and editing documents, maintaining learning management systems, scheduling trainings and maintaining calendars, and responding to general training inquiries. Coordinates location, time, facilities and classes as needed for department and/or lines of service managers.

Maintains training documentation and updates in systems of record. Sends company orientation materials to new hires within department/line of business. Maintains master schedule of training project assignments and availability.

Uses LMS (Learning Management System) to track and maintain training records, certifications, and reports. Uses various data sources to audit data and produce reports. Acts as first point of contact for training support needs, technical support, and reporting.

Drafts effective communications regarding training opportunities and updates for the department or service line. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position.

EDUCATION and EXPERIENCE High school diploma or GED required plus a minimum of 2 years' experience in an administrative support function in training or project management. Associates or Bachelor's degree preferred. CERTIFICATES and/or LICENSES None COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.

Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. REASONING ABILITY Ability to understand and carry out general instructions in standard situations.

Ability to solve problems in standard situations. Requires basic analytical skills. OTHER SKILLS and/or ABILITIES Intermediate knowledge of computer software and hardware (i.e.

Microsoft Office Suite Products). Experience with MS SharePoint preferred. Must work well under pressure with proactive approach to routine and non-routine occurrences.

Advanced organizational skills, attention to detail. SCOPE OF RESPONSIBILITY Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
