Engineered Equipment, Inc. seeks an Administrative Assistant - Sales Support to join our close-knit team. We are a leading manufacturers’ representative of HVAC, hydronic, & filtration equipment to the commercial and industrial markets and are proud to be 100% employee owned. The Administrative Assistant will support and work closely with our sales team and will interact frequently with customers and vendors. Previous administrative experience is preferred but we are willing to train candidates on the nuances of our industry.

Duties and Responsibilities for the Administrative Assistant:

  • Communicate effectively with other team members concerning project management process
  • Responsible for general administrative functions to support the equipment fulfillment process
  • Track ship dates and assist with communication to customers regarding shipping updates
  • Log bid and project information into CRM database
  • Manage receipt of and distribution of installation operation and maintenance manuals (IOMs) to customers
  • Assist with distribution and receipt of submittals
  • Assist with sales events as assigned including, lunch and learns, sales trips, factory visits etc.
  • Responsible for generating, interpreting and printing various assigned reports
  • Maintain expense reports and utilizing manufacture discounts
  • Cover phones as needed during lunch in relief of the receptionist
  • Responsible for clerical and administrative support including faxing, copying and data entry for assigned sales team

Qualifications for Administrative Assistant include:

  • Associate's or Bachelor’s Degree and 1 year Administrative Assistance experience or 3+ years Administrative experience
  • HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus but not required
  • Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Capacity to manage multiple projects and deadlines simultaneously
